Job Description

The Office Manager is responsible for ensuring the efficient operation of the company's office and administrative functions while providing high-level administrative support to company leadership.

The ideal candidate is detail-oriented, highly organized, professional, resourceful, discreet, and comfortable working in a fast-paced startup and manufacturing environment where priorities can change quickly. They will build strong, professional relationships and work autonomously with a customer-first attitude and an inherent sense of accountability. The position requires excellent communication skills, sound judgment, and the ability to manage confidential information.

RESPONSIBILITIES

  • Manage day-to-day office operations, ensuring the workplace is organized, professional, and functional.
  • Provide administrative support to the CEO, executive team, and other leaders. Maintain office procedures and administrative processes.
  • Serve as a welcoming and helpful resource for employees and visitors, the initial point of contact for office vendors, suppliers, and service providers.
  • Coordinate office supplies, mail, and general administrative services.
  • Coordinate internal and external meetings while managing conference rooms and meeting spaces, visitor coordination, and office calendars.
  • Assist with scheduling interviews, communicating with job applicants, scheduling onboarding activities, assisting with new hire orientation, and other key human resources administrative functions.
  • Coordinate office maintenance, repairs, cleaning, and other facility-related services.
  • Support company events, employee meetings, celebrations, and other employee engagement activities, helping to create a positive, professional and engaging workplace.
  • Assist with maintaining company presence on social media, drafting, designing, and posting of content.
  • Complete purchase requisitions for services as needed and assist with credit card documentation and expense report submission.
  • Maintain company contact lists, organizational information, and administrative records.
  • Assist with travel arrangements and logistics as needed.

Qualifications

  • Bachelor’s Degree in Management, Accounting, Business Administration, Human Resources, or related field required with a minimum of 3 years’ experience as an office manager, executive assistant, or similar role is required.
  • Excellent written and verbal communication skills
  • Strong organizational and time-management skills
  • Skilled in Microsoft Office Suite, specifically Excel, Word and PowerPoint.
  • Ability to analyze reports and identify gapes/inefficiencies/problems which could impact the business.
  • Ability to operate independently and understand what, when, how and to whom to escalate issues.
  • Demonstrated ability to solve common problems and provide immediate solutions.
  • High level of self-awareness and experience in “reading the room” and flexing to accommodate the needs of the audience.

PREFERRED QUALIFICATIONS

  • Experience supporting executive teams in a startup or rapidly growing company
  • Experience in a manufacturing, engineering, technology or industrial environment

Skills Required
