Job Description:
Lead and manage the Facilities & Administration function across the Cape Town (home base) and Johannesburg offices, ensuring consistent standards and service levels at both sites
- Develop and implement facilities and property strategy for both offices, including space planning, lease/property matters and future accommodation needs
- Manage vendor contracts, refit work planning and project management across both locations, including negotiating and reviewing service level agreements
- Oversee workplace management, building maintenance, testing and inspections, and building administration for the Cape Town and Johannesburg premises
- Own firefighting and fire prevention methods, risk assessment and business continuity planning across both sites
- Drive health, safety, environment and security (EHS) compliance and standards at both offices
- Manage the facilities and administration budget for both locations, ensuring cost-effectiveness and value for money
- Plan and manage facility maintenance schedules, renovations and refurbishments, coordinating travel to Johannesburg as required to oversee works
- Oversee and supervise all administrative operations across both premises to ensure operational efficiency and continuity
- Manage communications infrastructure requirements for both offices
- Lead, coach and develop administration and facilities staff/vendors, including any team members or contractors based in Johannesburg
- Collaborate with local management in both Cape Town and Johannesburg to ensure a safe work environment and high staff satisfaction
- Act as the primary escalation point for facilities and administration matters at both sites, reporting regularly to the Group Head, Facilities and Administration

• Min 5–8 years' experience in Admin/Facilities related functions, including at least 2–3 years in a supervisory or managerial capacity
• Experience managing multiple sites/locations is an advantage

• Very good command of English language (Listening, Speaking, Reading and Writing) or equivalent to Upper Intermediate level
• Strong experience with office management tools (MS Office software, in particular)
• Excellent organisational, planning and time-management skills, with the ability to manage priorities across two sites
• Strong written and oral communication skills, with the ability to influence stakeholders at all levels
• Proven people management and leadership skills
• Strong vendor and contract negotiation skills
• Valid driver's license and willingness to travel regularly between Cape Town and Johannesburg
