Role Overview
Title: Office Manager / HR Administrator
Hours: Full-time
Work Arrangement: Primarily on-site. This is a role for someone who wants to be in the office and be the heartbeat of it — core on-site days Monday–Wednesday during business hours, with Thursday/Friday on-site as needed. We’re looking for someone who genuinely prefers being on-site over working from home.
Benefits Eligible: Yes
Manager: People Ops Sr Manager
Mission – Why we exist and why we need you
Geothermal energy is the massive renewable energy below our feet. There is 2,300 times more energy in geothermal heat in the ground than in oil, gas, coal, and methane combined. However, to date it’s been hard to find the right places to get that energy cheaply. At Zanskar, we’re developing and commercializing new exploration technologies to make geothermal scalable and a vital contributor to a fully carbon-free electricity grid.
This role has grown. What started as keeping the office running has become the connective tissue between our people, our operations, and our growth. We need a full-time Office Manager / HR Administrator who can keep the trains running and take on higher-level work that touches nearly every function at Zanskar — from HR administration and recruiting coordination to immigration support, fundraising logistics, and the everyday experience of being part of this team.
You’ll work closely with People Ops, the legal team, and the Chief of Staff, and you’ll be a trusted partner to managers and employees across the company. You’ll anticipate what the office needs before anyone has to ask, make Zanskar an inviting place to work, and help us put our best foot forward — whether that’s a new hire’s first day or an investor’s first visit.
Outcomes – Problems you will solve
In your first three months, you’ll take ownership of the critical administrative and HR tasks that keep the company running each week, and build professional, repeatable systems for filing, processing, and tracking them. More broadly, you’ll be responsible for ensuring the office is an inviting place and that the employee experience is consistent and thoughtful from someone’s first day to their last.
Key areas of responsibility include:
Office & facilities management: Run day-to-day office operations, keep supplies and equipment stocked and maintained, manage vendor and landlord relationships, and stay ahead of facilities, safety, and compliance needs.
HR administration: Help employees enroll in benefits, answer payroll questions, enter payroll, and maintain accurate, confidential records. You’ll be a go-to resource for the people questions that come up every week.
Onboarding & new-hire experience: Own onboarding and offboarding logistics — get desks, equipment, and supplies ready before day one, coordinate the manager’s welcome and a clear first-day itinerary, and build out a new-hire orientation. Add the personal touches (welcome and farewell gifts) that make people feel seen.
Recruiting coordination: Set up interview questions and pipelines in the ATS, schedule interviews, follow up with hiring managers, and coordinate with recruiters to keep candidates moving smoothly through the process.
Immigration support: Partner with the legal team on visa and immigration processing — gathering documentation, tracking deadlines, and keeping cases organized.
Investor & executive support: Support the Chief of Staff with fundraising and investor visits — coordinating travel and logistics, making sure the office is polished and ready, and helping us make a strong first impression.
Employee experience & internal communications: Communicate company-wide announcements clearly and on time, anticipate the needs of the office, and help plan and execute company gatherings and events, including Zanskar’s Annual Summer & Winter Retreats.
Safety & compliance: Help stand up and coordinate a small, CPR-certified safety team prepared to respond in an emergency, and keep the office aligned with safety and compliance requirements.
Recurring activities will include:
Manage company software accounts and support equipment tracking and maintenance.
Manage facilities, including landlord relationships, compliance, safety, and cost tracking.
Support the team across hiring, recruiter coordination, onboarding, benefits, payroll entry, and employee relations.
Manage office operations, book travel, and coordinate scheduling — including for investor visits and recruiting.
Follow up with vendors and suppliers for support and troubleshooting.
Plan and execute the logistics for company gatherings and events, including the Annual Summer & Winter Retreats.
Competencies – What we are looking for
Reliability: You do what you say you’ll do, with little oversight. People can hand you something and trust it’s handled.
Organized: Exceptional organizational and time management skills are critical to managing the forms, tasks, and information flowing to and from many people across the company.
Excellent EQ & discretion: You’ll interact with nearly everyone at Zanskar. As your responsibilities grow, you’ll handle confidential and sensitive information — payroll, immigration, personnel matters — and treat it with care and discretion.
On-site presence: This role lives in the office. We’re looking for someone who wants to be on-site, sets the tone for the space, and takes pride in making it a great place to be.
Adaptable: We’re a startup and there’s a lot to do. Everyone from the CEO to the interns leans in. We want someone who anticipates needs and happily supports ad hoc requests so teams can focus on what matters most.
