As an Office Manager, you will manage the in-person setup and logistics for about 100 employees in our Berlin Mitte office, and you will remotely support other crossfunctional teams and offices throughout the German market. Working closely with the People Operations and IT teams, you will ensure a seamless experience for new employees and efficient daily office operations for all staff.

What you will do:

  • Lead a Smooth Office Move: Take charge of an exciting Berlin office relocation in early 2025, coordinating vendors, contractors, and movers to make the transition seamless and stress-free for the team.
  • Keep the Berlin Office Running: Manage the day-to-day operations, from keeping the shelves stocked with supplies and snacks to ensuring everything runs smoothly behind the scenes.
  • Support Beyond Berlin: Step in to help other Via offices in Europe as needed, whether it’s ordering supplies, managing vendors, or designing spaces that inspire.
  • Solve Problems Creatively: Tackle challenges with practical and imaginative solutions to keep the office running like clockwork.
  • Handle the Mail Like a Pro: Sort, scan, and distribute incoming and outgoing mail to make sure nothing falls through the cracks.
  • Make the Office a Great Place to Be: Organize weekly breakfasts, lunches, and special projects—like exploring sustainable water supply options—that foster connection and innovation.
  • Welcome New Hires and Guests: Support onboarding for Berlin newcomers, maintain health and safety standards, and provide a warm welcome for visitors.
  • Track Budgets and Expenses: Manage office expenses and reporting to ensure efficient use of resources and financial transparency.\
  • Plan Office Events and Projects: Plan team events like happy hours, volunteer days, and other initiatives that bring people together and build a great office culture.

Who you are:

  • You're fluent in German, the language you'll use to communicate complex topics to multiple external stakeholders
  • You have one or more years of experience in Office Management or Business Operations
  • An optimist. You keep a “can-do” mentality, and are eager to take on new challenges with excitement.
  • Low-ego. There are no jobs too big or too small for you. Whether it’s rolling up your sleeves and executing an in office happy hour, or negotiating with a critical vendor… you do what needs to be done.
  • Highly organized and detail-oriented. You pay attention to the little things and take pride in executing flawless processes.
  • Trustworthy, honest, and able to work alone without supervision.
  • A great communicator with strong interpersonal skills. You enjoy working with others and being part of a team!
  • You intuitively understand how to manage your time and prioritize multiple tasks at once
  • A problem solver… not just a problem identifier. You proactively come up with creative solutions to problems from ideation to execution.
