Job Description
The Kraft Heinz Company is seeking an Office Manager to maintain office services by organizing office operations and procedures, maintaining the office condition, arranging necessary repairs, and booking meetings and managing scheduling.
Responsibilities
• Order and maintain office supplies: desks, chairs, pens, monthly office supplies, and large and small equipment.
• Manage facilities: building management, decorating, sourcing and negotiating with contractors and suppliers, and managing contracts and monthly bills.
• Schedule meetings and appointments for management.
• Provide general support to visitors, including arranging hotels, dinners, and bus rentals.
• Assist in booking calendars and setting agendas for visits.
• Assist in the onboarding process for new hires.
• Handle the travel budget, including phasing and tracking.
• Work closely with the travel agency to create trip POs and ensure correct travel procedures are followed.
• Manage two office attendants and a courier; set task plans for them.
• Coordinate maintenance companies to keep the office clean and safe and ensure appliances are in good working order.
• Book meeting rooms for trainings or events.
• Prepare invitation letters for visitors.
• Process invoices and expenses for MD trips in the Workday system.
• Process invoices and expenses for office custody.
• Oversee business card printing.
Qualifications
• Minimum 3 years of relevant experience (FMCG preferred).
• Fluent in Arabic and English.
• Proficient with Microsoft Office (Excel, Word, PowerPoint, Outlook).
• Experience using SAP.
• Agility and enthusiasm.
• Passion for continuous improvement and a proactive nature.
• Ability to simplify processes.
• Execution- and results-driven.
• Good communication skills with internal and external stakeholders.
• Problem-solving.
• Teamwork.
