Job Description

Purpose of the Position: Providing administrative and secretarial support to the Management Board, while managing day-to-day office operations to ensure an efficient and productive work environment.

Key Responsibilities:

  • Calendar Management: Provide extensive calendar management for the local team, including scheduling and preparing meeting agendas.
  • Office Operations: Manage daily office operations, including answering phone calls, responding to emails, and greeting visitors.
  • Event Coordination: Coordinate travel arrangements, office events, and meetings, including scheduling, logistics, and catering.
  • Office Maintenance: Maintain office equipment and supplies, ensuring everything is fully functional and stocked.
  • Budget Management: Collaborate with other departments to maintain the office budget and manage expenses.
  • Vendor Management: Manage relationships with vendors, service providers, and landlords.
  • Expense Reconciliation: Reconcile expense reports and manage financial documentation.
  • Travel Arrangements: Organize and prepare international travel itineraries, including visas and other necessary arrangements.

Qualifications

  • 3-5 years of experience in supporting senior management and in office management
  • Proficient in Microsoft Office (Word, Excel, PowerPoint). 
  • Fluency in Polish and English
  • Proactive, self-starter with excellent attention to detail. Exceptional time management skills with the ability to prioritize, multitask, and meet deadlines
  • Strong organizational, communication, and interpersonal skills
