As the Office & Events Coordinator, you will play a key role in ensuring the smooth operation of our corporate headquarters and creating an engaging, collaborative environment for employees. Reporting to Senior HR Manager, you will manage office logistics, coordinate employee events, and support initiatives that foster a positive workplace culture. This role requires a proactive, hands-on approach and strong organizational skills to keep our office running efficiently while delivering memorable employee experiences.

Key Responsibilities:
  • Oversee general office operations, ensuring a well-organized and welcoming work environment
  • Coordinate logistics for internal meetings, company events, and presentations
  • Engage with stakeholders to prepare Townhall meeting decks and monthly newsletters, to keep the team informed
  • Plan and execute employee engagement activities, team-building events, and office celebrations
  • Act as a point of contact for vendors, cleaners, office service providers, manage office supplies and facility-related inquiries
  • Support the onboarding process for new hires, including workspace setup, welcome materials, and first-day coordination
  • Assist in the planning and execution of special projects, ensuring alignment with company goals and timelines
  • Manage team expenses related to office operations and events, including submitting reimbursement claims and tracking budgets
  • Liaise with the finance team to ensure timely processing of payments and invoices
  • Maintain organized records of office-related documentation
  • Occasional other duties as required
  • Day to day: deliveries, answering phones, greeting guests, office supply management and grocery orders
*You will be required to work 5 days per week at our Corporate HQ in Mississauga.
Skills and Qualifications:
  • No Job Too Big or Too Small attitude: Ready to tackle any task with enthusiasm and efficiency
  • 2+ years’ experience in office coordination, HR, event planning, or administrative support
  • Advanced Office Software Proficiency: Microsoft Word, Excel, PowerPoint, Outlook, Teams
  • Excellent interpersonal and communication skills and a natural ability to build trusting relationships
  • Strong organizational and time management skills to manage multiple tasks and deadlines
  • A proactive approach to identifying opportunities to streamline processes or improve efficiency
  • Handle sensitive information with the utmost confidentiality and professionalism
  • Willingness to learn our industry
