The Office Coordinator will organize and coordinate our day-to-day office experience, ensuring everything runs smoothly, efficiently, and with intention. You’ll manage daily office logistics, create a welcoming and professional environment, and partner closely with the Office Manager to provide hands-on administrative support as needed.

You will report to the People & Culture Director of the Dominican Republic Operations and will collaborate frequently with leaders from Operations, People and Culture positions across the organization and external vendors.

Office & Administrative Management

  • Oversee daily office operations to ensure smooth workflow

  • Generate and track Purchase Orders (POs) through the full approval cycle.

  • Manage the end-to-end process for in office meals

  • Manage office supplies, equipment, and vendor relationships

  • Maintain organization and cleanliness of common areas and front office spaces

  • Manage restaurant reservations for business meetings and team-building events, ensuring they align with budget and quality standards.

  • Provide administrative support for staff travel and accommodations, ensuring compliance with company travel policies.


Front Desk & Facility Coordination

  • Greet and assist visitors, vendors, and staff

  • Provide Front Desk coverage, manage the company's telephones, and manage voicemail
    professionally

  • Manage building access, sign-ins, and visitor logs as required

  • Coordinate mail, packages, and internal communications

  • Serve as a point of contact for facility-related inquiries

Requirements

  • 2+ years of experience in office management, front desk, or administrative roles

  • English Fluency

  • Strong organizational and multitasking skills

  • Excellent interpersonal and communication skills

  • Comfortable working in structured, compliance-driven settings

  • Proficiency with standard office tools (email, scheduling, documents)

  • Reliable, detail-oriented, and professional demeanor

  • Comfortable with variety in a role and not afraid to "roll up your sleeves”
