Position Overview

We are a multi-site international organization seeking a highly organized and dynamic individual to fill the role of Office Coordinator in our Winnipeg office. You will be responsible for organizing and coordinating all internal administrative functions including office operations and procedures to ensure organizational effectiveness and efficiency. You will oversee site-related internal communication and organize events and workshops. You are a proactive, detail-oriented professional with administrative prowess and a passion for functional excellence who will drive success in our organization.

Roles & responsibilities:

  • Responsibilities includes management-assistance tasks, onboarding, site project management, site-related communication and events, site development, site and company branding, and admin support.
  • Works with the relevant teams (facility, etc.) to ensure we develop, maintain, and ensure proper operations of facilities and front desk.
  • Supports and monitors company safety programs and policies to ensure compliance with Siemens Healthineers’ corporate EHS policies and with local environmental, health, and safety regulations.
  • Identifies and supports personal and team development opportunities.
  • Provides organizational leadership to the team, including onboarding for new hires.
  • Manage administrative tasks related to site-level activities and support senior executives or functional heads.
  • Third Party Vendor management: maintenance, contracts, invoicing submission, and tracking.
  • Support various administrative functions as needed, contributing to the overall efficiency of the team and organization.

Required Skills:

  • You have a proven track record of leading projects and improvement initiatives and have a genuine interest in continuous improvement.
  • Ability to multi-task and perform duties under minimal supervision while exercising limited discretion and independent judgement in a fast-paced environment.
  • A focus on customer service for visitors and internal clients at all levels of the organization.
  • You have excellent skills in planning, organizing and execution, decision making, negotiation, and change management.
  • Excellent analytical, organizational, and problem-solving skills with strong attention to detail and accuracy.
  • Proficient in Microsoft Office 365 (Word, Excel, Outlook, and PowerPoint) and Teams.
  • Excellent interpersonal, verbal, and written skills

Work Experience:

  • Previous administrative experience preferred
