Office Coordinator are responsible for the operation and maintenance of building systems and services. The Office Coordinator is responsible for the management of services and processes that support the core business of the organization. The FM also ensures that best practices are followed for maximum efficiency and that the most suitable working environment is attained for its employees and their activities.
Duties and Responsibilities
- Supports day-to-day office operations by maintaining systems, procedures, and workflows that keep the organization running efficiently
- Organizes and oversees office operations including correspondence management, filing systems, and general administrative procedures
- Reviews and processes supply requisitions, ensuring adequate inventory levels and cost-effective purchasing decisions
- Manages space allocation logistics including parking assignments, locker distribution, and other facility needs
- Coordinates and project-manages the work of contractors, supervising activities and verifying that agreed work is completed satisfactorily
- Identifies and follows up on any deficiencies in work performed by staff or external vendors
- Calculates and compares costs for required goods and services to ensure maximum value for money
- Supports budget preparation and tracks expenditures, flagging variances and assisting in corrective actions as needed
- Assists in office layout planning and coordinates equipment procurement to maintain an efficient and functional workspace
- Contributes to team efforts by taking on related tasks as needed and adapting to shifting organizational priorities
Requirements
- Bachelor’s degree, management, closely related field or equivalent in work experience
- English: Oral & Written – B2
- Spanish: Oral & Written - Advanced to Native
- Proficient in Microsoft Office (Excel, PowerPoint, Word, and Outlook)
