The Office Coordinator is responsible for coordinating daily activities in a multiple physician medical office and ensures efficient and professional patient flow through the office. A caregiver in this position works 7:30am—4:00pm or 8:00am–5:00pm
A caregiver who excels in this role will:

Coordinate reception, appointment scheduling, registration, charge entry, cashiering and medical records functions to promote the smooth, efficient flow of patients through the office.

Collaborate with coding coordinator(s) to ensure compliance with ICD-9 and CPT coding. Ensures accurate and timely processing of denials. Troubleshoots billing problems.

Implement organizational policies and procedures. Identifies, analyzes, and resolves work problems.
-
Take appropriate steps to solve patient and guest complaints or problems.
-
Recommend, implement, and evaluate patient satisfaction initiatives.
-
Ensure accurate and timely entry of registration data and accurate collection of and posting of co-pays and account balances in accordance with policy.
-
Serve as liaison for practice and administration, billing service, IS, finance and other hospital departments.
-
Maintain strict control of expenses in accordance with the budget.
-
Prepare check requests for purchased items in a timely manner and work with Accounts Payable to process payments.

Monitor facilities to ensure they are safe, secure, and well maintained. Ensures adequate inventory of supplies and equipment.

Ensure offices are open and closed according to procedures.

Identify marketing opportunities and promote offices in a positive manner in the community.

Follow system and department policies and procedures with special attention to attendance and punctuality, confidentiality, dress code and display of ID badge, and safety.

Complete mandatory education and training to maintain organization and department specific competencies and requirements. Maintain applicable certification/licensure.
Minimum qualifications for the ideal future caregiver include:

Associate's degree in relevant field or the equivalent on-the-job experience

Two to three years of experience in physician office setting
Preferred qualifications for the ideal future caregiver include:
-
Knowledge of billing procedures and CPT and ICD-9 coding skills
-
Proficient with computer software applications (Word Excel) and medical practice management systems

Can troubleshoot and train others in the use of medical office systems
-
Excellent verbal and written communication skills and interpersonal skills

Can deal with patient's office staff members administration and the public effectively
