Schedule: Monday - Friday, 8:30am - 5:00pm (Full Year)
Position Summary
The Office Coordinator will provide administrative, programmatic support, and some limited immigration (SEVP) and compliance needs for the Office of International Student Services. The position will report to and support the Director in ensuring appropriate and accurate compliance of the institution and all international students and scholars with immigration regulations. The position will also assist in providing a set of programming to enhance the integration, success, and retention of international students and scholars. The Office Coordinator will work closely with the Director and program manager on regular collaboration with campus offices, academic departments, and student organizations toward these ends, and within the larger Student Growth & Engagement (SGE) Office. There will be specialized event support and operational duties based on the needs of the department, which may fall outside of regularly scheduled hours.
This is a full time, in-person, CWA Union position.
Responsibilities
Perform basic troubleshooting tasks for systems and programs used within the department. Enter data to update and maintain accurate visa information in the designated system.
Review submitted documents to ensure accuracy, authentication, completeness, and adherence to regulations.
Assist the Director in communications with external groups including Social Security Administration, Department of Motor Vehicles, and others as needed to provide and receive information related to international scholar support
Supporting the Director in researching and maintaining a current database with immigration and federal regulations
Support the Director in data entry for processing the I-20 and DS-2019 forms.
Support the Director in collaborating with campus offices, academic departments, and student organizations in the development, coordination, and implementation of activities and events that serve the international student population and cultivate intercultural competence among all students.
Support the budget operations of the office/department: reconcile reports and corporate card; make vendor payments; process invoices; process deposits and debit transactions through applicable systems, process journal entries; ensure expenses are charged to appropriate budget accounts and remain within department allocations; investigate and provide notice if out of alignment.
Data entry to maintain complete and accurate SEVIS files and document processing and regulatory reporting for every F-1 and J-1 student and scholar under the supervision of the Director, which will require a background check to meet the USDHS's regulatory requirements to be a Designated School Official (F-1) and the U.S. Department of State's requirements to be an Alternate Responsible Officer (J-1).
Collaborate with other departments, maintain vendor relationships, and work with other members of the SGE Team and the campus community to complete projects or tasks beyond the scope of your individual department.
Support the Director's oversight of OIS student interns.
Required knowledge, skills and abilities
Three years of progressively responsible administrative support experience.
Ability to meet both the USDHS's regulatory requirements to be a Designated School Official (F-1) and the U.S. Department of State's requirements to be an Alternate Responsible Officer (J-1), for data entry and to maintain SEVIS files.
Strong computer skills including proficiency with Google Suite, Microsoft Word Office suite and ability to learn additional technical systems.
Highly energetic self-starter with integrity and strong work ethic.
Strong written and verbal communication skills.
Ability to interact effectively with a diverse community.
Ability to sit or stand for extended periods of time.
Ability to interact socially with others.
Preferred knowledge, skills and abilities
Bachelor's degree
Two years of experience with print and web based software.
Compensation
The compensation for this position is $22.40 per hour.
Skills Required
