Job DescriptionThe Office Administrator serves as the central point of coordination for office operations, providing administrative, facility, and organizational support across multiple departments. This role is responsible for maintaining an efficient and professional workplace environment while managing office resources, vendor relationships, employee events, and day-to-day administrative functions that support both office and manufacturing personnel.
Responsibilities
- Oversee the day-to-day operations of the office, ensuring a professional, organized, and efficient work environment for employees, visitors, and vendors.
- Serve as the primary point of contact for incoming calls, emails, visitors, and general inquiries, while coordinating calendars, meetings, conference rooms, and reception activities.
- Coordinate visitors, customer meetings, and vendor visits, maintaining visitor logs and reception processes while ensuring conference rooms, meeting spaces, and common areas are prepared and professional.
- Prepare, format, distribute, and maintain business documents, records, filing systems, employee communications, and other company documentation.
- Maintain office, breakroom, and janitorial supply inventories; coordinate purchasing activities; and stock snacks, beverages, and other consumable supplies to support both office and production personnel.
- Manage office equipment, service agreements, and vendor relationships to ensure equipment functionality, timely maintenance, and efficient facility operations.
- Coordinate with Human Resources to support new hire onboarding activities, including preparing workspaces and distributing onboarding resources.
- Coordinate employee events, company celebrations, facility lunches, catered meals, and other employee engagement activities while managing budgets and vendor relationships.
- Process invoices, reconcile receipts, and support basic bookkeeping and administrative accounting functions.
- Provide cross-functional administrative support to Operations, Human Resources, Finance, and other departments, assisting with daily office functions, reporting, workplace improvement initiatives, and special projects as needed.
- Maintain the cleanliness, organization, and professional appearance of office, meeting, and common areas.
- Perform other duties and special projects as assigned.
Required Knowledge, Skills & Abilities
- Strong verbal and written communication skills with the ability to interact professionally with employees, customers, vendors, and visitors.
- Excellent organizational, time management, and prioritization skills, with the ability to manage multiple responsibilities in a fast-paced environment.
- Self-motivated and resourceful, with strong attention to detail and the ability to work independently with minimal supervision.
- Ability to maintain confidentiality and exercise discretion when handling sensitive information.
- Proficiency with Microsoft Office Suite and the ability to learn new software and systems.
- Strong customer service, problem-solving, and interpersonal skills.
- Ability to regularly lift and transport office supplies, beverages, and other materials throughout the facility.
Required Education & Experience
- High school diploma or GED required.
- 1-3 years of administrative, office management, office coordinator, executive assistant, or related experience.
- Experience supporting office operations, coordinating schedules and meetings, managing records, and interacting with vendors and customers.
- Experience in handling confidential information and maintaining accurate documentation.
