Job Summary
The Administrative Assistant is responsible for directing and coordinating all the administrative functions of the corporate office.
Essential Duties and Responsibilities
- Demonstrates the “Golden Rule” of treating others the way we wish to be treated in all actions and communications.
- Acts as first impression and office ambassador. Must be hospitable to guest and visitors.
- Manages to ensure effective telephone and mail communications both internally and externally to maintain professional image.
- Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.
- Negotiates the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions. Large purchases will require approval from Supervisor.
- Responsible for all incoming mail sorting & distribution and outgoing mail for corporate staff.
- Maintaining and ordering office supplies.
- Responsible for company car maintenance and cleaning.
- Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.)
- Responsible for maintaining facility office bookings, coordinating meetings and trainings, ordering and setting up office luncheons, scheduling restaurant reservations, hotel accommodations for visiting team members, and office alarm system, to include adding/removing personnel from alarm.com user access list.
- Responsible for the organization of main storage areas for corporate office
- Serve as primary point of contact for office alarm system.
- Coordinates schedules for corporate office employees as needed.
- Participates as needed in special department projects.
- Other duties as assigned.
Required Education and Experience
- Bachelor’s degree or equivalent is preferred but not required.
- Three to five years of previous experience in office management is preferred.
- Working knowledge of mail processes such as postage machine, FedEx and UPS.
- Ability to identify opportunities for process improvement and a drive to achieve both short and long term results.
- Excellent teaming and communication skills.
- Ability to meet firm deadlines.
- Detail oriented and ability to prioritize, manage and complete multiple tasks.
- Average to above average computer skills in Microsoft Word, Outlook and Teams. Average computer skills in Excel and PowerPoint.
Additional Eligibility Requirements
- Must submit to and pass a drug test pursuant to Company Drug-Free Workplace Policy which includes random testing.
- Must submit to and pass a level 2 background screening
Work Environment
This job operates in a professional office environment. The expectation is to maintain office hours of 8:30a-5:30p Monday-Friday, and act as the security system liaison for off hour emergencies.
Physical Demands
- Position is primarily sedentary but can also be required to stand/walk regularly and occasionally for prolonged periods of time.
- Regularly required to talk or hear
- Must have stamina to work more than the scheduled workday when needed, including nights and weekends.
- This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.
- Travel required: Less than 5%
