Primary Responsibilities:
- Executive Calendar Management: Manage complex, dynamic calendars for the Chief People Officer, VP of Finance, and General Counsel, strategically prioritizing meetings, proactively resolving scheduling conflicts across multiple global time zones, and ensuring leaders' time is optimized.
- Meeting Logistics: Schedule and organize sensitive and high-stakes meetings, including Board meetings, leadership planning sessions, and all-hands gatherings. This includes coordinating cross-functional attendance, reserving conference rooms, and managing A/V and technology setup.
- Travel & Expenses: Manage end-to-end domestic and international travel logistics (flights, accommodations, ground transportation, etc) and process detailed expense reports and invoices in a timely manner.
- Communication: Prepare, proofread, and format confidential presentations, reports, and correspondence on behalf of the supported executives.
- Confidentiality: Handle highly sensitive information related to People/HR, Finance, and Legal with the utmost discretion and professionalism.
- Prioritization: Proactively review, prioritize, and manage scheduling conflicts, ensuring critical meetings and objectives are consistently met.
- Office Operations: Oversee the daily functioning of the Louisville, CO office, ensuring a clean, safe, and productive work environment for all employees.
- Vendor Management: Serve as the primary point of contact for all office vendors (e.g., catering, janitorial, maintenance, security, supplies). Manage contracts, service schedules, and coordinate maintenance/repair activities.
- Security & Access: Manage office access control systems and key distribution for employees and external visitors/contractors adhering to JumpClouds strict security & access protocol.
- Office Aesthetics & Organization: Manage all office supplies, kitchen stock, and equipment inventory. Ensure common areas, conference rooms, and workspaces are consistently organized, presentable, and functional.
- In-Office Events & Logistics: Plan and execute internal employee events, team gatherings, and office morale activities, handling all logistical details from initial concept to budget tracking and execution.
- Onboarding Support: Collaborate with the People team to manage new hire physical setup (desk assignment, equipment placement, welcome materials).
Required Qualifications:
- Based in the Denver/Boulder area and able to be in our Louisville, CO office 3x per week.
- 3+ years of experience in an Administrative Assistant, Executive Assistant, Office Manager, or similar support role, preferably within a fast-growing, international technology company.
- Expertise with Google Workspace (G-Suite), particularly Google Calendar for complex, multi-time zone scheduling as well as travel booking (Egencia etc), expense reporting software (Expensify etc) and video conferencing platforms ( Google Meet, Zoom etc).
- Exceptional organizational and time management skills with an acute attention to detail and a high degree of accuracy.
- Excellent written and verbal communication skills in English, with the ability to interact professionally with all levels of global staff and external partners/customers, including Executives and Board Members.
- JumpCloud is a global company with team members in 15+ countries. This role may require flexible working hours when necessary for meetings or events.
- Physical Requirements: Ability to handle light physical tasks related to facilities and event setup (e.g., carrying supplies, arranging furniture) up to 50lbs.
