High Point University is currently seeking a full-time, Office Administrator. This position provides administrative, planning, and operational support and performs a variety of functions to assist in the daily operations of the School of Entrepreneurship. The person in this position will serve as a liaison with other departments and administrative functions and should be highly organized, detail oriented, have the ability to multi-task and complete tasks in a timely manner. QUALIFICATIONS:

Education

Bachelor’s degree and five years related experience, or an equivalent combination of education and experience.

Knowledge, Skills, Ability

  • General knowledge of office management and operations.
  • Excellent organizational, communication and planning skills with attention to detail.
  • Ability to maintain a helpful and gracious demeanor while simultaneously handling multiple requests by various constituents.
  • Proficiency in Microsoft Office software products, Microsoft Publisher, and Adobe Photoshop. Knowledge of higher education/academic software systems desirable.
  • Ability to demonstrate excellent interpersonal and communication skills, both orally and in writing, and to work effectively with a broad range of people, including faculty, staff, administration, students, CSE constituents and the general public.
  • Aptitude for proofreading, editing, and formatting documents.
  • Capacity and ability to monitor a budget, process requisitions and purchase orders, support travel and expense transactions for the Dean and Department Chairs and manage the adjunct contract process.
  • Ability to manage spreadsheet data and analyze and interpret that data. Additionally, to manage policy and procedural questions and manage confidential information.
  • Excellent time management skills including the ability to organize workflow, coordinate activities, and prioritize workload.
  • Proficiency with website management tools and social media platforms including Facebook, Instagram, and LinkedIn.
  • Support the work of the CSE, the Dean and Faculty to ensure compliance with University policies and procedures and to advance the mission of the School.

ESSENTIAL FUNCTIONS:

  • Collects, compiles, and maintains internal and external data and develops reporting infrastructure.
  • Maintains and manages CSE website and social media pages, including Facebook, Instagram, and LinkedIn.
  • Develops and maintains marketing, recruitment, and other event promotional materials as well as press releases, in partnership with Office of Communications.
  • Prepares for and supports all CSE events, including CSE student organizations, classes, speakers, and other community events. Additional support will include outcomes reporting (survey development, data management and reporting).
  • Maintains responsibility for the Plato S. Wilson building as building supervisor, which entails overseeing the overall condition of the structure, utilities, classroom and office technology, and general repairs. Liaison to campus enhancement for any building issues such as work orders for maintenance, technology issues in the classrooms, and posting and/or creating class notifications. Point of contact for classroom and event space reservations beyond class schedules.
  • Supports the administration of hiring and supporting student workers hired by the School.
  • Provides administrative support for the CSE. Composes, compiles, and types memos, letters, reports, policies, and procedures.
  • Processes requisitions and purchase orders. Prepares expense vouchers with receipts as needed. Collects, sorts, and distributes mail and packages and orders and maintains supplies inventory. Establishes, organizes, and maintains records, files, and reports.
  • Supports faculty through class scheduling, office hour sign creation, posting and reporting, syllabi collection and management, travel and expense reporting, and event management. Additional faculty support could include attendance reports and data management.
  • Provide excellent customer service to all constituents often as the first point of contact for the CSE.
  • Performs other related duties as assigned.

ACCOUNTABILITY:

  • Works under general supervision. Reports directly to the Dean of the CSE. Work requires contact with departmental and University staff, students, and the general public.

PROBLEM SOLVING:

  • Needs to proactively identify and head off problems that may arise with students, classes, professors, book orders, buildings, events, visitors, technology, CSE student organizations and all other HPU departments. This position is expected to find the answers/solutions to a wide variety of questions and issues.
