The Administrative Assistant provides comprehensive administrative, operational, and organizational support to leaders, teams, and business organizations of varying sizes. This role serves as a key partner in enabling organizational effectiveness by managing day-to-day administrative activities, coordinating events and communications, and supporting business operations.
The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment while maintaining a high degree of professionalism, discretion, and customer focus.
Key Responsibilities
- Provide administrative support to managers, leaders, and teams by coordinating daily activities and business operations.
- Manage complex calendars, schedule meetings, coordinate appointments, and resolve scheduling conflicts.
- Coordinate domestic and international travel arrangements, including expense reporting and reimbursement processes.
- Organize and maintain conference rooms and meeting logistics, including virtual and onsite meetings.
- Plan, coordinate, and execute team events, offsites, employee engagement activities, and organization-wide meetings.
- Prepare, edit, and distribute business communications, including emails, reports, presentations, meeting materials, and correspondence.
- Screen and manage incoming communications, directing inquiries to the appropriate individuals when necessary.
- Generate reports, presentations, and other business documentation using Microsoft 365 applications.
- Manage office operations, filing systems, records, and administrative processes.
- Monitor and maintain office supply inventory, coordinate purchases, and ensure resources are available to support business needs.
- Support budgeting and expense tracking activities in partnership with business leaders and finance teams.
- Represent the organization in site-wide and global administrative initiatives and projects.
- Collaborate with administrative and operational teams to support planning, communication, and organizational effectiveness.
- Maintain confidentiality and exercise sound judgment when handling sensitive business information.
