Role Summary:
The Agency Operator will be a key member of a team responsible for providing a 24 hours a day, 7 days a week on-call service to our Principals to ensure the safe and smooth turnaround of all appointed vessels within the jurisdiction of the port office.
In addition to a standard working week, you will be required to undertake work out of usual office hours on a rota basis.

Key Responsibilities:
- Fully coordinate and manage port appointments from enquiry/nomination through to completion for all port agency and husbandry calls.
- Arrange all port services including berthing, pilots, towage, lines, surveys, inspections and vendor/supplier coordination to minimise vessel idle time.
- Manage pre-arrival documentation and liaise proactively with port authorities, terminals and government bodies to protect Principal interests and ensure smooth operations.
- Receive and monitor schedules/ETAs, providing real-time updates on berthing, sailing, cargo operations, bunkers, fresh water and waste discharge to all stakeholders.
- Prepare PDAs, request pre-funding, and handle Statements of Fact, customs and cargo documentation, including managing customs clearance.
- Maintain accurate Principal systems, internal Inchcape systems and port/terminal information such as tariffs, berth data and restrictions.
- Respond to proforma cost and husbandry cost enquiries, ensure accurate PDA/CE data, and hand over to Finance in a timely manner.
- Ensure suppliers understand invoicing processes, communicate disbursement instructions, support the DA Team with outstanding invoices and ensure OK-to-Sail requirements are met.
- Comply with SOPs, KPIs and customer standing instructions, escalating operational issues where required and keeping clients well-informed throughout.
- Carry out additional port agency related duties as required.
Candidate Requirements:
- Prior port agency experience or a background or education in the maritime, shipping or logistics field.
- Maritime or ICS shipping qualification (or willing to work towards).
- Experience working in a front facing customer service role.
- Experience of working to pre-defined processes and procedures.
- Experience of (or willing to work in) an out of hours (non-Monday to Friday)
role. - Experience of being rostered on-call with a duty phone.
- Experience working in a corporate / office environment.
- Excellent time management skills; multitasking in a fast-paced pressured environment.
- Ability to prioritize workload to meet strict timelines calmly.
- Competent user of the Microsoft Office suite including Outlook, Excel and Word.
