Job Description:

The Matter Mobility Project Manager is a national position that is assigned to a national law firm account. This position requires the application of critical thinking and industry best practice knowledge in support of the review of files transferring in and out of the Firm under the auspices of its Matter Mobility Management Program. Under the direction of the IG Senior Manager and Enterprise Operations Manager the Matter Mobility Coordinator will support all mobility events and transfer-related initiatives; large-scale digital data inventory reviews; document reviews and cross-collaboration of projects across the client IG and Epiq RIM teams.

Essential Job Responsibilities

  • Transferring Client Matter Files - Support the client in managing the national transfer process.
  • Assist IG Matter Mobility Manager in verifying documentation and scope of transfer requests.
  • Assists with the review of transferring files, both physical and electronic, in accordance with the Firm's matter mobility guidelines to facilitate the identification, tagging, extraction, and retention of content which contain proprietary and confidential information relative to Firm business operations.
  • Proficiency in effectively communicating and collaborating with Firm leadership and the Epiq team across all office locations regarding the matter mobility program.
  • Works with onsite IGM teams to facilitate the timely review and release or additions of physical collections.
  • Onboarding Client Matter Files - Assist electronic review of transferring files in accordance with the Firm's matter mobility guidelines to facilitate the identification, tagging, status, and document repository assignment relative to the Firm's client matter intake processes.
  • Assist with other duties assigned in support of the local IGM team where based.

Qualifications & Characteristics

  • High School Diploma and college preferred or equivalent years of Records Management experience
  • Possess a minimum of 5 years' experience managing a records management operation (law firm preferred)
  • Familiarity with LegalKey and/or similar Records Management Systems and Document Management software
  • Familiarity with iManage, and/or similar Document or Enterprise Content Management Systems
  • Working knowledge of Microsoft Office products, including Outlook, Word, Excel and Teams
  • Excellent communication (verbal and written) skills
  • Ability to manage multiple high priority tasks
  • Ability to effectively assign tasks to Team members who are not direct reports
  • Manage and oversee progress of tasks assigned to ensure deadlines are met
  • Experience transitioning to an electronic environment
  • Ability to lift to 30 lbs., and stand on a consistent basis
