Ministerial Information:
The Marriage Coordinator serves an important ministerial role in advancing the mission of the Catholic Church through marriage preparation, sacramental support, evangelization, and pastoral accompaniment. This position directly assists individuals and couples in their journey toward the Sacrament of Matrimony and supports those seeking healing and reconciliation through tribunal and chancery processes. The Wedding Coordinator serves as a pastoral guide and administrative liaison for couples preparing to receive the Sacrament of Matrimony in the Catholic Church. This role focuses on accompanying engaged couples and individuals through the diocesan marriage preparation process, ensuring that all sacramental, canonical, and diocesan requirements are completed with care, accuracy, and compassion. This position is centered on faith formation, sacramental preparation, and ongoing communication with couples, clergy, sponsor couples, and diocesan offices.
Principal Accountabilities:
Marriage Preparation & Pastoral Support
- Guide engaged couples and individuals through all phases of the Catholic marriage preparation process in accordance with diocesan policies and Church teaching.
- Schedule and conduct initial meetings, orientations, and follow-up appointments with couples to review requirements, timelines, and expectations for the Sacrament of Matrimony.
- Provide ongoing pastoral support and timely communication to couples regarding required classes, documentation, and sacramental preparation steps.
- Coordinate meetings between couples and clergy, sponsor couples, and other ministry leaders as needed.
- Serve as a welcoming and supportive point of contact throughout the preparation journey.
Sacramental & Administrative Coordination
- Prepare, collect, review, and maintain all required sacramental and diocesan documentation, ensuring forms are complete, accurate, signed, sealed, and submitted in a timely manner.
- Assist and accompany with care and compassion those couples and/or individuals seeking marriage convalidations, sanations, annulments, and other tribunal or chancery related processes. Respond promptly to phone calls, messages, emails, and other means of communication related to the pursuit of these processes within the Diocese of Fort Worth.
- Coordinate and organize marriage preparation packets, affidavits, and supporting documents for clergy, sponsor couples, diocesan offices, and the Tribunal.
- Accompany and assist individuals with chancery or tribunal appointments when necessary, including reviewing submitted documentation before forwarding materials to the Roman Rota.
- Maintain accurate records, shared spreadsheets, and confidential files in compliance with parish and diocesan standards.
Communication & Ministry Collaboration
- Respond promptly and professionally to phone calls, emails, and inquiries related to marriage preparation, sacramental processes, and other marriage related services like sanations and annulments.
- Communicate regularly with clergy, the Music and Liturgy Director, and parish staff regarding updates, schedules, and preparation progress.
- Coordinate monthly orientation sessions and informational meetings for engaged couples and marriage preparation participants.
Sponsor Couple Ministry Support
- Recruit, support, and coordinate Sponsor Couples participating in the marriage preparation ministry at St. Andrews.
- Schedule meet-and-greet opportunities between engaged couples and Sponsor Couples.
- Assist with onboarding and training new Sponsor Couples, including certification requirements, resource materials, and shadowing opportunities.
- Coordinate the annual Sponsor Couple Appreciation Dinner in celebration of World Marriage Day.
General Ministry Support
- Organize and maintain ministry materials, pamphlets, binders, and informational resources related to marriage preparation.
- Assist with volunteer recruitment efforts for the wedding and marriage ministry.
RECORD RETENTION RESPONSIBILTIES:
- Manages the proper storage and disposal of confidential information and personally identifiable information (PII) in accordance with policy and law.
- Securely maintains a current work process binder for each major area of responsibility.
- Secure and orderly storage of vendor, contractor, and contract records.
- Secure and orderly storage of client records.

Working Conditions and/or Physical Requirements:
- This position works in a typical office environment but is subject to stress due to the evolving and quickly expanding needs of the Diocese, tight deadlines and moderate workloads.
- Ability to sit and perform computer work for lengthy periods of time.
- Able to access and maintain centralized departmental files. Involves extending arms and reaching files stored in multiple levels on shelves, climbing up a stepladder to access files.
- Ability to accept work interruptions while still remaining focused on duties.
- Data entry via computer keyboard that requires repetitive and frequent hand and wrist movements.
- Ability to lift up to 35 pounds without assistance and up to 60 pounds with assistance.
- Nights, weekends, and holiday hours are required.
Travel Requirements:
- Infrequent travel, by car, may be required to Diocese, Parishes, and/or schools.
Education and Experience Preferred:
- Practicing Catholic in good standing with knowledge of Catholic teachings on the Sacrament of Matrimony and related canonical processes, especially in relation to irregular or broken marriages
- High School Diploma/GED
- Previous experience preferred
Knowledge and Skills Preferred:
- Strong organizational, administrative, and interpersonal communication skills.
- Ability to maintain confidentiality and handle sensitive situations and materials with compassion and professionalism.
- Experience in parish ministry, faith formation, or administrative coordination preferred.
- Familiarity with diocesan marriage preparation processes, Tribunal procedures, and parish record keeping for which training will be provided.

FLSA Designation: Exempt, Full-time 40 hours/week. On Site. M-F 9:00 – 5:00pm
