Position Summary
The Marketing Executive Assistant III provides high-level administrative support to the Marketing leadership team across four locations: West Hills, San Bernardino, Orange County, and West Covina. This position requires exceptional discretion, sound judgment, strong organizational skills, and the ability to make real-time decisions. The role maintains complex calendars, coordinates staff across multiple locations, and provides centralized administrative oversight to support leadership effectiveness, strategic priorities, and departmental operations.
Key Responsibilities
- Provide administrative support for leadership, staff, and training activities.
- Assist with the development and delivery of training as needed.
- Maintain confidentiality and exercise discretion when handling sensitive information.
- Prepare and track expense reports and payments as requested.
- Create reports and present documentation in a consistent, professional manner.
- Perform other duties as assigned by management.
Education & Experience
- Minimum 2 years of Executive Assistant experience.
- Excellent written and verbal communication, grammar, and organizational skills.
- Advanced proficiency with Microsoft Office, including Word, Excel, PowerPoint, Access, Outlook, and Visio.
- Ability to interact professionally with all levels of an organization.
- Ability to work independently and collaboratively.
- Professional attitude and demeanor.
- Experience in medical group or IPA operations and information systems management preferred.
- Experience with clinical applications preferred.
- Customer service experience preferred.
- Knowledge of IS operations and support across multiple operational functions preferred.
- Experience and understanding of managed care and healthcare operations preferred.
- Experience with MS Project preferred.
Compensation & Benefits
The anticipated starting pay range is $30–$35 per hour, depending on experience and other individualized factors, including market location, job-related knowledge, skills, licensure, and experience.The total compensation package may include a sign-on bonus, discretionary awards, and a comprehensive benefits package, including medical, financial, 401(k), vacation, sick time, and parental leave benefits, as applicable to the position.
