As a Marketing Event Coordinator, you will be responsible for executing the logistics of marketing trade show events and the internal AffiniPay user conference. For external events, you will work closely with our larger Marketing team to ensure all event details are planned and executed to AffiniPay standards. For AffiniPay’s user conference, you will work with Marketing Events Leadership to execute all event-relevant logistics. You possess creativity, excellent communication, organizational skills, follow-through, and the ability to work across multiple departments within the company and represent the company at events in a positive and professional manner.

What You'll Do:
- Event Coordination: From AV setup to booth furniture, shipping logistics, and staff coordination, you’ll be responsible for the smooth execution of event logistics both on-site and virtually.
- Collaboration: Work hand-in-hand with our Marketing team to plan and execute events that meet AffiniPay’s high standards.
- Sponsorship Management: Ensure all sponsorship deliverables are submitted and executed on time, ensuring AffiniPay’s presence stands out at every event.
- Lead Management: Oversee lead UTMs, raffle codes, and manage event swag inventory – ensuring that all materials are organized and ready to go.
- Travel and Communication: Coordinate travel for event staff, communicate with team members and attendees, and ensure pre-event logistics are flawlessly planned.
- Post-Event Reporting: Complete comprehensive event reports to measure success and identify areas for improvement.
- Additional Support: Assist with internal events, manage transportation for key stakeholders, and take care of any last-minute event needs.
About You:
- Experience: Event planning experience is a must. Trade show or technology user conference experience is a plus!
- Organization Skills: You thrive in a structured environment and are adept at managing multiple tasks simultaneously.
- Attention to Detail: You’re meticulous and always ensure nothing falls through the cracks.
- Communication: Clear, professional, and effective communication is your forte, both in writing and in person.
- Cross-functional Collaboration: You’re comfortable working with multiple departments and teams, driving efforts to meet shared goals.
- Problem Solving: You can think on your feet, troubleshoot challenges, and find creative solutions.
- Flexible Schedule: Willing to attend events after hours to oversee set-up and take-down processes.
- Location Flexibility: This position sits in Austin, Texas. You must be able to work from our Austin office at least 2 days per week.
