Job SummaryWe are looking for a highly organized and proactive Marketing & Association Coordinator to support a wide range of administrative, communication, and marketing activities.
This role combines operational coordination with marketing execution, supporting Secretariat operations, leadership, committees, educational programs, digital communications, and partnerships. You will collaborate with internal teams and international stakeholders to ensure smooth day-to-day operations while helping strengthen community engagement and organizational visibility.
Key ResponsibilitiesSecretariat & Executive Support- Support the administration of the Secretariat and Liaison Office, including mailbox management and correspondence.
- Provide administrative support to the Executive Director(s), including coordinating schedules and follow-up tasks.
- Coordinate logistics for virtual and in-person meetings.
- Prepare presentations and supporting materials for Board of Directors meetings.
- Manage communications with committees and internal governance structures.
- Coordinate the committee application process, including announcements, application management, communication, and review coordination.
- Support the planning and delivery of monthly webinars.
- Coordinate the Mentorship Program, including applications, matching, timelines, committee coordination, and communications.
- Lead Early Career Professional (ECR) initiatives, including committee meetings, workshops, awards, and new projects.
- Develop and execute marketing and social media strategies.
- Manage social media channels, including content planning, publishing, engagement monitoring, and community interaction.
- Create and distribute newsletters, email campaigns, and member communications.
- Coordinate promotional campaigns and marketing materials across digital platforms.
- Maintain and update website content.
- Prepare press releases, news updates, and other media communications.
- Ensure brand consistency across all marketing activities.
- Support broader digital marketing initiatives as required.
- Support the podcast program by coordinating with hosts, guests, and production teams.
- Assist with donation programs, including platform administration and promotional activities.
- Develop and maintain relationships with national and international partner organizations.
- Perform additional duties related to the company's activities as assigned by the direct manager.
- Fluent English (written and spoken) – minimum C1 level.Marketing Expertise
- Proven experience developing and executing digital marketing strategies.
- Strong understanding of customer engagement across digital channels.
- Hands-on experience managing organizational social media platforms.
- Bachelor's degree in Marketing, Business Administration, Communications, or a related field (or equivalent relevant experience).
- Minimum of 3 years of experience in digital marketing and marketing communications.
- Excellent command of Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Proficiency with Adobe Acrobat/PDF.
- Experience using Canva, Hootsuite, email marketing platforms, website content management systems, SurveyMonkey, and Zoom or similar video conferencing platforms.
- Excellent communication and interpersonal skills.
- Strong customer-service orientation.
- Excellent organizational and time management skills with strong attention to detail.
- Ability to manage multiple priorities while meeting deadlines.
- Proactive, solution-oriented mindset with a high level of ownership.

Skills Required
- University degree or equivalent
- At least 3 years marketing or communications experience
