Primary Purpose:
The Manager of Maintenance Business Services oversees financial, administrative, analytical, and compliance functions for the Maintenance organization and collaborates closely with all five ADUSA brands to ensure alignment, consistency, and operational excellence. This role ensures accurate tracking of maintenance costs, adherence to financial controls, timely reporting, and effective collaboration between Maintenance and Finance to uphold strong financial controls and data integrity. The Business Services Manager leads a team responsible for cost accounting, work order/invoice analysis, inventory reconciliation, and budgeting related to maintenance operations.
Additionally, this role provides leadership to the Supervisor, Administrators, and Specialist teams while partnering with brand leadership across all ADUSA brands to support operational decision - making and long - term planning for the Maintenance organization. The Maintenance Business Services Manager will maintain a dotted-line leadership relationship with the Financial Planning & Analysis (FP&A) team to ensure that the Maintenance organization is fully supported across all financial planning, reporting, and analytical functions.
**Our flexible/hybrid schedule includes 3 in-person days at one of our core locations and 2 remote days. Our core location for this role is Salisbury, NC.
Duties and Responsibilities:
Financial Management, Planning & Reporting
- Serve as the financial partner to Maintenance leadership, supporting daily operational decisions with accurate data and insights.
- Collaborate closely with all Maintenance teams and ADUSA brands to analyze financial performance, interpret key drivers, and develop actionable insights that support Maintenance operations and long-term business planning.
- Contribute to monthly results reporting and preparation of financial materials that communicate trends, risks, and opportunities
- Monitor, analyze, and provide variance explanations for maintenance expenditures.
- Oversee cost allocation, capital vs. expense classification, and GL postings for maintenance expenses and capital projects.
- Provide financial insights and recommendations to support leadership decision-making.
Accounting, Controls & Compliance
- Ensure adherence to financial controls, accounting standards, and internal policies across all ADUSA brands.
- Manage invoice validation, PO/WO variances, and ensure timely vendor payments.
- Track warranty claims, vendor billing discrepancies, and oversee monthly credit card reconciliation reviews
- Ensure compliance with state/local inspection requirements, contracts, environmental regulations, and EPA refrigerant tracking expectations.
Vendor & Contract Administration
- Manage vendor setups, rate agreements, and contract documentation supporting all ADUSA brands.
- Oversee vendor compliance with pricing, contractual obligations, and invoicing expectations.
- Collaborate with Maintenance teams and Finance on vendor management, cost controls, and contract negotiations.
Work Order, Inventory & Refrigerant Governance
- Review and validate maintenance work orders and invoices for accuracy and completeness.
- Oversee parts and materials accounting, cycle counts, accrual procand inventory reconciliation.
- Maintain accurate time, labor, and parts postings to the GL.
- Manage refrigerant usage tracking, cost/lb reporting, and EPA compliance documentation.
- Support quarterly inventory audits and operational compliance routines.
Systems Data Governance, Analytics & Process Improvement
- Oversee data accuracy and governance across maintenance systems used by all five brands.
- Partner with Analysts to improve system performance, automate reporting, and develop analytics dashboards.
- Provide standard and ad hoc reporting to support operational and financial decision - making.
- Lead continuous improvement and CMMS (Computerized Maintenance Management system) initiatives that enhance data quality, reporting efficiencies, and process effectiveness.
Leadership & People Management
- Supervise the Maintenance Business Services Supervisor and Specialist. Provide indirect oversight to Administrators and Analysts.
- Set team goals, develop talent, and foster a culture of accountability and continuous improvement.
- Partner with leaders across Maintenance, Finance, IT and all ADUSA brands to support Maintenance goals and objectives.
- Communicate effectively across all business levels, ensuring alignment and transparency.
Qualifications:
- Bachelor's degree (Accounting, Finance or Business Administration) or equivalent work experience.
- 5+ years of accounting, finance, or operations finance experience.
- 3+ years of experience in a leadership capacity
- Strong understanding of accounting principles, inventory management and capital expenditure planning
- Demonstrated business acumen in a maintenance or operational environment
- Excellent time management/organizational skills
- Excellent oral and written communication
- Ability to communicate with all levels of leadership within ADUSA and across all Brands
- Strong MS Office skills (Excel, Word, Powerpoint, Access)
Preferred Qualifications:
- Bachelor's degree in Accounting, Finance or Business Administration
- Experience integrating maintenance data with financial planning and analysis processes
- Advanced proficiency in Microsoft Excel, Power BI
- Working knowledge of CMMS systems
- Experience with Vendor Data Mgt systems
Salary Range NC: $92,640 - $138,960
Actual compensation offered to a candidate may vary based on their unique qualifications and experience, internal equity, and market conditions. Final compensation decisions will be made in accordance with company policies and applicable laws.
