Job Summary

As Managed Service Quote Operations Associate you will be responsible for the timely and accurate production of high volume / small value customer facing quotes. The role involves receiving requests from customers or sales, liaising with internal and external suppliers to obtain cost inputs and generating client pricing before quote production.

You will working as part of a fast paced team who are diligent in their approach, operate to a high standard and have a right first time mentality. You will liaise with various levels of stakeholders, including but not limited to internal business units, external vendors, suppliers and customers, ensuring relationships are built, maintained and enhanced.

You will be involved in the investigation and resolution of queries. Acting with integrity and in collaboration with various business stakeholders.

Suggesting and supporting initiatives that drive improvements to the way we operate, demonstrating a balanced flexibility, curiosity and a passion to engage.

What you will do

  • Quote generation for Managed Services contracts, as per the small orders definition
  • Production of new, renewal and change request Managed Services contracts, as per the small orders definition
  • Liaising with suppliers, vendors and 3rd parties, including the use of portals, tools and a standardised price book
  • Collaboration with Sales Operations for processing of Managed Services contracts, as per the small orders definition
  • Liaise with purchasing and contract management teams for ordering of any 3rd party services
  • On-going administration of existing contracts within the small orders definition
  • Liaising with internal departments to confirm vital contract information
  • Use of internal tools for account management and order processing (Microsoft Navision, CRM, Great Plains)
  • Individual pipeline and forecast management for small orders
  • Processing auto-renewals where applicable, no greater than £10k total contract revenue
  • Any additional activity as directed by management

What we expect of you

  • 1+ years of experience in quotation administration, admin, client management, vendor management, reseller management or related role.
  • Quotation management: Strong understanding of Quotation Management, Quotation Renewals, Quotation Cancellations, Building New Quotes and Amendments.
  • Stakeholder Management: Experience in building relationships and engaging with multiple internal business units and support functions, supporting vendors and valued resellers or suppliers.
  • Technical skills: Proficient in using CRM systems, ERP solutions, Microsoft office and reporting tools.
  • Quotation Processing: Preparing accurate quotes in a timely manner for pricing and builds estimates for listings by gathering information and analyzing material and job costing. Possessing strong numerical skills, analytical mindset and attention to detail.
  • Quality control: Experience in quality control or compliance checking for: quote requests, addition or removal of lines from existing quotes, cancellation of quotes and renewal of existing quotes. Working within a system-based work queue to identify tasks and objectives ready for review.
