DESCRIPTION:
 

The Order Fulfilments Specialist is responsible for managing the detailed and organized operations of order processing. Key duties include requesting purchase orders, verifying invoices, preparing shipments, and updating order records with status, charges, and customer information. This role is ideal for individuals with experience in procurement, order management, inventory control, and customer service.

Using discretion and good judgment in overseeing the day-to-day office management activities of the Korea office, including Property Management, Vendor Management, Health & Safety, Security and provides management with recommendations.

RESPONSIBILITIES –

  • Process customer orders promptly and accurately
  • Maintain accurate records of all inventories and manage stock levels
  • Ensure all orders are fulfilled correctly and shipped to the right address
  • Provide customers with information about order status
  • Collaborate with sales and service departments to resolve issues
  • Manage returns and exchanges
  • Comply with safety and hygiene regulations
  • Conduct regular inventory audits and report discrepancies
  • Create and manage 3rd party PO in Coupa
  • Monitor 3rd party purchased items and invoices
  • Process account payable on time
  • Monitor import clearance.
  • Order Fulfilment related administrative tasks.
  • Act as Office Manager and provides administrative support to Korea office
  • Support to make a friendly and vibrant work environment e.g. organize, team building, client and social events etc., where our employees can come together to work, learn and have fun at Elekta.
  • Arrange for couriers and manage incoming/outgoing mail
  • Establish and implement office policies and procedures to ensure compliance with local regulations.
  • Ensure the office is stocked with the necessary supplies in terms of pantry management, office supply management, procurement of office equipment and coordinating servicing and repairs of facilities
  • Oversees and maintain the IT inventory (handphones and laptops)
  • Responsible for managing the overall facilities and maintaining a well-run office, clean, health and safe work environment. Adhere to building safety and as well as fire regulations within the office.
  • Other additional and/or alternative duties as assigned from time to time

AUTHORITIES –

  • Operational Decisions: The specialist can make day-to-day operational decisions related to order processing, inventory management, and shipping coordination.
  • Issue Resolution: They are empowered to resolve common issues related to order discrepancies, stock shortages, and customer complaints, often in collaboration with other departments.
  • Process Improvements: The specialist can suggest and implement improvements to order fulfilment processes to enhance efficiency and accuracy.
  • Compliance: They ensure that all operations comply with safety and hygiene regulations, making decisions to maintain a safe working environment
     

Relevant Knowledge, skills and competEncies –

  • Associate degree or above in Supply Chain Management, Logistics or related discipline
  • 3 to 5 experience in logistic field
  • High command in spoken and written in English
  • Attention to detail
  • Excellent time management and ability to prioritise tasks
  • Good team player
  • Proficiency in MS office, Saleforce/Coupa would be an advantage
  • Hands on experience on L/C operations
  • Experience in medical field would be an advantage but not essential
  • Excellent communication skills
  • Attention to detail
  • Strong understanding of supply chain procedures
  • Customer service-oriented mindset
