Job Summary
Our client in the manufacturing sector is seeking to recruit a Logistics Officer to coordinate and control outbound logistics operations at the Kumasi branch. The Logistics Officer will oversee order preparation and dispatch, truck planning and allocation, fleet monitoring, delivery documentation, vehicle maintenance coordination, and driver supervision to ensure safe, efficient, and timely deliveries in line with company procedures.
Key Responsibilities
- Receive approved sales orders and prepare delivery schedules based on customer requirements and production availability.
- Coordinate with Warehouse and Sales teams to ensure orders are picked, verified, and ready for loading.
- Confirm quantities, batch details, and documentation before dispatch.
- Supervise loading activities to ensure proper handling and secure placement of goods.
- Ensure dispatch timelines are achieved and communicate delays promptly.
- Plan and allocate company trucks based on order volumes and route efficiency.
- Source and coordinate third-party transporters when internal fleet capacity is insufficient.
- Negotiate and confirm transport arrangements in line with agreed rates and terms.
- Maintain transport schedules showing truck assignments, destinations, and delivery timelines.
- Monitor truck movements to ensure timely customer deliveries.
- Track vehicle utilization, fuel consumption, and trip performance.
- Address delivery challenges such as route issues, vehicle breakdowns, and customer concerns.
- Ensure compliance with road safety and transport regulations.
- Prepare and verify delivery notes, waybills, gate passes, and other dispatch documentation.
- Maintain accurate records of dispatched goods, truck assignments, trip logs, and transporter invoices.
- Reconcile delivery documentation with Warehouse, Sales, and Finance records.
- Prepare reports on delivery performance, fleet utilization, maintenance status, and logistics costs.
- Monitor vehicle conditions and maintain updated maintenance records.
- Schedule routine servicing, preventive maintenance, and statutory inspections.
- Follow up on vehicle repairs to minimize downtime.
- Liaise with approved workshops and service providers to ensure quality and cost control.
- Supervise company drivers and ensure compliance with company policies and transport procedures.
- Verify drivers' licences, certifications, and regulatory compliance.
- Prepare driver schedules and trip assignments.
- Monitor driver conduct, punctuality, and performance.
- Report and address incidents, accidents, and disciplinary matters in coordination with Management and HR.
Requirements
Qualifications
- Bachelor's degree or Diploma in Logistics, Supply Chain Management, Business Administration, or a related field.
- Minimum of 3–5 years' experience in logistics, fleet coordination, or transport management.
- Experience managing both internal fleet operations and third-party transporters.
- Strong knowledge of transport documentation and dispatch procedures.
- Strong planning, coordination, record-keeping, and documentation skills.
- Good problem-solving and decision-making abilities.
- Effective communication and supervision skills.
- Ability to work under pressure and meet delivery deadlines.
- Basic knowledge of vehicle maintenance processes.
- Strong attention to detail and ability to maintain accurate records.
