Title: Liturgy Coordinator, Full time (35 hrs./wk.)

Overview:
The Liturgy and Sacristy Coordinator is a Catholic parish staff member who supports and facilitates the worship life of the parish and the Diocese of Venice by planning, coordinating, and scheduling liturgies and working closely with ministry leaders. The position coordinates the planning and celebration of the Sacraments of Baptism and Matrimony, as well as funerals, while providing support to the rector in accordance with the norms, teachings, and traditions of the Catholic Church.
Job Responsibilities
- Monthly scheduling of priests, deacons, sacristans, altar servers, lectors, Extraordinary Ministers of Holy Communion, ushers, projectionists, and music ministry to ensure smooth services for all Masses and other liturgical ceremonies utilizing the MSP software.
- Contact additional priests when necessary to cover liturgical events.
- Collaborates with Rector and Operation Manger creating the yearly Liturgical Calendar of Events.
- Coordinate with the Sacristan Leader to order sacristy supplies.
- Maintain and supply forms used in the sacristy, such as the Mass Count Sheet, Celebrant Sheet, etc.
- Coordinate with volunteers for the laundering of all altar linens and vestments and the cleaning of liturgical objects.
- Weekly ordering of altar flower arrangements and seasonal decorations (e.g., Advent, Christmas, Lent, and Easter).
- Order yearly Mass books, lectors’ books and ORDO for Clergy and liturgy team.
- Collaborate with the Rector, DRE, Music Director, Communications Coordinator, and administrative staff regarding the planning and communication of weekend Masses and special liturgical celebrations and special events.
- Maintain an inventory of liturgical supplies and order replacements as necessary. Work with the Operations Manager and Rector on the appropriate budget for liturgical items and supplies.
- Record documents for all weekly liturgies in MIO. (Mass Intentions Online)
- Manage arrangements for baptisms, weddings, funerals, feast days, and other sacramental celebrations.
- Oversee the recording of the Sacraments of Baptism and Matrimony and funerals.
- Order and maintain an inventory of Wedding Preparation materials.
- Coordinate funeral arrangements with the funeral home, funeral planner, and clergy.
- Order bricks and memorial plaques and maintain the Memorial Garden log.
- Oversee ministries related to Liturgy, including Sacristans, Lectors, Extraordinary Ministers of Holy Communion, Ushers and Projectionists and Altar Stewards.
- Collaborate with Altar Stewards preparing the Church according to the Liturgical Calendar.
- Prepare for Liturgy meetings, including coordinating with volunteers and accurately recording minutes.
- Assist with the Ministry Fair.
- Plan the Liturgy Ministry Advent and Lent Retreats and the Christmas Party.
- Coordinate liturgies and activities between the parish and the Diocese of Venice for Diocesan events.
- Create the schedule for Venice Police Department officers to cover weekend liturgies.
- Manage the administrative side of the Altar Server Ministry and collaborate with Ministry Leaders.
- Coordinate with the Ministry Lead to schedule Adoration Chapel adorers.
- Ensure that the Adoration Chapel displays the appropriate liturgical colors and maintains its overall upkeep.
- Identify, encourage, and train volunteers, as needed, for a vibrant Liturgy Ministry within the parish.
- Create and/or oversee the development of materials used in the liturgies, such as Prayers of the Faithful, Mass Intentions lists, and pulpit announcements.
- Coordinate with the Operations Manager on staff retreats for Advent and Lent.
- Manage the Rector’s calendar.
- Create the annual Animarium Report for the Diocese of Venice.
- Other duties as assigned by the Rector/Operations Manager.
- Practicing member of the Catholic Church.
- Knowledge of Catholic liturgy and Church traditions.
- Strong attention to detail and reverence for sacred spaces.
- Ability to work independently and maintain confidentiality.
- Reliable, punctual, and organized.
- Physical ability to lift moderate weight and move within church facilities.
- Flexible hours, including early mornings, evenings, weekends, and Holy Days.
