The Position
Reporting to the Chief of Staff, the Vendor Manager partners closely with Finance, Accounts Payable, outside counsel, and legal technology teams to drive accuracy, compliance, and efficiency across all vendor and billing operations. This role is central to ensuring seamless vendor onboarding, invoice accuracy, financial escalation resolution, and system integrity within T360, Organon’s enterprise legal billing platform. The ideal candidate brings deep, hands-on T360 expertise and a proven ability to navigate complex financial and system workflows within a corporate legal environment.
Responsibilities
Vendor Management
Own end-to-end vendor creation and maintenance in T360, including onboarding of new law firms, legal service providers, and consultants.
Coordinate with Finance and Procurement to ensure all vendors meet Organon’s approval requirements prior to activation.
Serve as the primary point of contact for vendor-related questions, ensuring timely resolution and accurate records in T360.
Maintain up-to-date vendor profiles and rate cards, conducting periodic audits to ensure data integrity.
Invoice Management & Finance Escalations
Review, process, and resolve invoice exceptions and discrepancies submitted through T360 by outside counsel and legal vendors.
Act as the escalation point for invoice disputes, working collaboratively with Finance, Accounts Payable, and external vendors to reach timely resolution.
Monitor invoice aging and work proactively to clear backlogs, ensuring on-time payment cycles and strong vendor relationships.
Identify recurring billing issues and implement systemic fixes to reduce future exceptions.
T360 System Administration & Issue Resolution
Serve as a subject matter expert and primary administrator for T360, troubleshooting system issues and coordinating with the T360 support team as needed.
Configure and maintain T360 matter structures, approval workflows, billing rules, and vendor data to align with departmental and business requirements.
Support system upgrades, patches, and enhancements, including user acceptance testing (UAT) and regression testing.
SOX Compliance Support
Assist with Sarbanes-Oxley (SOX) compliance activities as they relate to the T360 system, including documentation of internal controls, evidence gathering, and audit support.
Partner with Finance, Internal Audit, and Legal leadership to ensure T360 processes and data meet SOX control requirements.
Maintain organized records and audit trails within T360 to support internal and external audit reviews.
Reporting & Analytics
Develop and maintain regular operational reports covering vendor spend, invoice status, outstanding exceptions, and T360 system health for Legal leadership.
Build and deliver dashboards and ad hoc analyses to support budget forecasting, accruals, and financial planning activities.
Track key performance metrics for vendor management and billing operations, identifying trends and recommending improvements.
Special Projects
Lead and support Legal Operations special projects as assigned, including process redesign initiatives, system integrations, and cross-functional programs.
Collaborate with internal stakeholders across Legal, Finance, IT, and Procurement to deliver project outcomes on time and within scope.
Document processes, create training materials, and communicate changes effectively to impacted teams.
Bachelor’s degree with concentration in Business, Finance, Legal Studies, or a related field preferred.
At least three years of direct, hands-on experience with T360 (T360) is required — candidates without demonstrated T360 expertise will not be considered.
Demonstrated experience managing vendor onboarding, invoice review, and billing escalations in a complex corporate environment.
Prior involvement in SOX compliance activities, particularly within legal or financial systems, is strongly preferred.
Expert-level proficiency in T360, including vendor management, matter configuration, billing rules, approval workflows, and reporting modules.
Proficiency in Microsoft Excel and reporting tools; Power BI experience is a plus.
Familiarity with ERP and Accounts Payable systems, and how they integrate with legal management platforms.
