Legal Operations Specialist - Workflow & Systems Management (CLM + e‑Signature Tools)/Process Optimization & Reporting (Dashboards, KPIs, Automation)

- This is not an attorney, paralegal, drafting, or negotiation role; the focus is entirely on legal operations, process efficiency, system management, reporting, and cross‑functional coordination.

Scope:
- Manages end‑to‑end signature workflows using e‑signature tools, ensuring timely and smooth execution.
- Maintains legal systems including CLM, contract repositories, and matter management tools with complete and accurate metadata.
- Supports various legal operations initiatives centered around process improvement, automation, and operational efficiency.
- Creates reports and dashboards capturing contract volume, cycle times, SLA adherence, and other operational KPIs.
- Conducts regular audits to ensure data integrity and system accuracy.
- Coordinates workflows and information sharing with Legal, Sales, Finance, Procurement, and Operations teams.
- Maintains Standard Operating Procedures (SOPs), knowledge bases, and document archives to support organizational compliance and scalability.
- Ensures high-quality, organized, and reliable documentation across all legal operational activities.
- CLM systems
- DocuSign or similar e‑signature tools
- SharePoint or equivalent repository solutions
- Own and manage signature workflows end‑to‑end, ensuring timely processing and escalation when required.
- Administer legal systems (CLM, repositories, matter management tools), maintain metadata accuracy, and support enhancements.
- Develop and maintain operational dashboards and analytical reports to support legal team decision-making.
- Drive process improvement initiatives focused on workflow automation, operational efficiency, and reducing cycle times.
- Partner with cross‑functional teams to ensure smooth and consistent legal intake processes.
- Conduct periodic audits to ensure system hygiene, data consistency, and compliance with organizational standards.
- Maintain centralized documentation including SOPs, process maps, training materials, and knowledge repositories.
- Support the legal team during internal audits, due‑diligence processes, and compliance assessments by preparing data and reports.
- Assist in onboarding new tools, features, and system upgrades, including coordination with IT and vendor support.
- Enable cross‑functional teams by providing user training on legal tools and workflows.
- Ensure all operational activities adhere to internal policies, procedural guidelines, and documentation standards.

- 2+ years of experience in Administration, Operations, or Legal Operations.
- Experience managing signature workflows and comfort working with e‑signature tools.
- Strong attention to detail with demonstrated ability to maintain accurate data in systems.
- Proficiency with reporting tools and ability to create dashboards and operational insights.
- Advanced Microsoft Office skills (Word, Excel, PowerPoint, Outlook, SharePoint).
- Experience with DocuSign and CLM systems strongly preferred.
- Familiarity with legal technology (CLM tools, document repositories, SharePoint, workflow tools).
- Strong organizational skills and ability to manage multiple cross‑functional workflows.
- Excellent verbal and written communication skills.
