Section 1: Position Summary
The Legal Operations Coordinator is a critical role responsible for enhancing efficiency and effectiveness of a variety of operational duties designed to ensure the smooth functioning of legal processes while upholding operational excellence and maintaining compliance with internal policies and legal and regulatory requirements.
Primary responsibilities include collaborating with internal stakeholders, assisting in the finalization and execution of contracts, legal records administration, and providing other legal operations support to the legal group. This position contributes significantly to the overall success of legal operations at Ascensus by incorporating a proactive approach and meticulous attention to detail.
Section 2: Job Functions, Essential Duties and Responsibilities

Route contracts and other legal documents for execution, cross-check and validate contract information, and ensure proper storage post-execution

Organize, migrate, and store contracts and other legal documents within SaaS business systems

Update and maintain legal records within SaaS business systems

Act as a backup to administrator of legal operations software

Understand business processes and provide practical, actionable advice and support to internal clients

Effectively respond to information requests from internal clients and send regular reminders

Follow Standard Operating Procedure (SOP) manuals and assist in drafting new SOPs

Work well independently while under pressure in a fast-paced, dynamic environment with a high degree of responsiveness

Interacts effectively with all levels of management and staff

Assist with other tasks and projects as assigned, demonstrating flexibility and willingness to contribute to the legal group’s success

Regular, reliable and punctual attendance

Responsible for protecting, securing, and proper handling of all confidential data held by Ascensus to ensure against unauthorized access, improper transmission, and/or unapproved disclosure of information that could result in harm to Ascensus or our clients

Section 3: Experience, Skills, Knowledge Requirements

Baccalaureate degree or equivalent experience in a related field

Minimum 2 years of experience working with contracts and corporate business systems/SaaS platforms

Proficient knowledge of Microsoft Word, Outlook, and Teams, eSignature platforms, and electronic records storage

Strong computer skills with an interest in technology/automation

Excellent organizational skills, attention to detail, and ability to proofread

Operates with a high level of integrity and accountability

Ability to work autonomously, yet also take direction from legal group leaders

Strong problem-solving, critical thinking, and analytical skills

Works quickly and effectively, managing time and resources to meet deadlines and objectives
