Job Summary

The Legal Administrative Assistant is responsible for providing and coordinating administrative support to the Vice President and Deputy General Counsel of Litigation and Legal Operations (DGC), managers, attorneys, and other legal professionals in the ConocoPhillips Houston Legal Department.  

Position Overview

Your responsibilities may include:  

  • Managing schedules and updating calendars for the DGC, managers, and attorneys 
  • Managing attorney schedules and updating calendars  
  • Meeting, planning and scheduling conference rooms, catering, and teleconferences, etc. 
  •  Coordinating and facilitating meetings  
  • Preparing and revising legal correspondence  
  • Developing and/or maintaining legal files, records and documents in electronic and/or paper format  
  • Copying and scanning documents  
  • Coordinating travel arrangements  
  • Preparing and processing travel and expense reports  
  • Managing emails and/or instant messages appropriately and professionally  
  • Receiving, processing and distributing incoming/outgoing mail and facsimile transmissions  
  • Other administrative duties as assigned by the legal work team and/or supervisor

Basic Requirements:

  • Legally authorized to work in the United States  
  • 3 or more years of experience as a Legal Administrative Assistant supporting litigation practitioners 
  • Advanced level of proficiency with Microsoft O365 applications: Excel, Outlook, PowerPoint, SharePoint, Teams and Word  
  • Understanding of and ability to process transactional documents  
  • Understanding and appreciation for working with highly sensitive and confidential information

  • Willing and able to assist with a variety of administrative tasks  
  • Knowledge of Matter Management (Case) systems 
  • Highly developed interpersonal skills  
  • Excellent organizational skills  
  • Strong focus on attention to detail  
  • Ability to prioritize multiple tasks and adapt quickly to change  
  • Proficient knowledge of legal terminology and procedures associated with litigation, in particular the discovery process  
  • Customer focused and service-oriented  
  • Ability to work effectively in a team environment  
  • Demonstrate a strong commitment to delivering results while maintaining a safe environment
