Foley & Lardner LLP is seeking a detail-oriented Administrative Assistant to support the Estate Planning Practice Group in Dallas. This role provides administrative and organizational support to attorneys and legal professionals, assisting with client matters, document management, scheduling, and day-to-day practice operations. The ideal candidate is proactive, highly organized, and committed to delivering outstanding client service in a fast-paced professional environment.
Responsibilities- Process check requests, invoices, and expense reimbursements through Chrome River
- Assist with new client and matter intake, including preparation of engagement letters and related documentation
- Submit and monitor conflict checks
- Schedule client meetings, conference calls, and attorney meetings
- Reserve conference rooms and coordinate meeting logistics
- Arrange travel accommodations and prepare travel itineraries as needed
- Prepare and maintain physical and electronic client binders and presentation materials
- Review, scan, file, and save documents within the firm's document management system NetDocs
- Download, organize, and distribute documents received through Dropbox and other file-sharing platforms
- Assemble documents for delivery, prepare FedEx and courier labels, and arrange for shipment
- Proofread documents for formatting, accuracy, grammar, and completeness
- Create, label, organize, and maintain client and matter files
- Update contact, client, and matter information within the firm's practice management systems
- Assist with maintaining client indexes and records for estate planning, trust, tax, and related matters
- Perform other administrative duties and special projects as assigned
- High School Diploma or GED required
- Minimum of two (2) years of experience in an administrative support role required
- Prior law firm and estate planning experience desired
- Excellent verbal and written communication skills with a professional and client-service-focused approach
- Working knowledge of all Microsoft Office platforms preferred
- Ability to handle confidential and sensitive information with discretion
In support of transparency and equity in the workplace, Foley provides salary ranges for all positions. The figures below represent the full compensation range for this position. The actual amount offered will be between the range minimum and midpoint based on the following factors: education, experience, geographic market, and internal pay equity at Foley.
