PAY RATE: USD $31.00 per hour
Pay rate will vary based on criteria such as education, experience and qualifications of the applicant, location, internal equity, and alignment with the market.
TRAVEL REQUIREMENT: ~10% may need to go to HQ office for meetings but this is infrequent
HOW YOU WILL MAKE AN IMPACT
The Leave of Absence Specialist will manage the administration of all aspects of employee leaves to ensure compliance with company policies, federal and state leave regulations, while providing instruction, guidance and excellent customer service to employees, managers and human resources professionals.
WHAT YOU WILL DO
- Manage the administration of all company leaves of absence, including NYSPFL, NYDBL and other state leaves; reasonable accommodation under ADA, personal leave, military leave, PTO, etc.
- Serve as the primary point of contact for and manage all leave inquiries, advising employees and managers on the leave process and related policies.
- Intake of leave requests, sending required notices, forms and letters, and determining leave eligibility. Ensure federal and state compliance of all leaves, including certification of state leaves.
- Create and maintain complete and accurate leave files.
- Track leave time working with HRIS and Payroll
- Communicate with employees, managers and human resources professionals to coordinate the return-to-work process, including accommodation requests and leave expirations.
- Responsible for maintaining current knowledge of federal and state leave laws and regulations; propose revisions to HR Leadership for internal documents, policies and communications as necessary to ensure company compliance.
- Review all case escalations on a regular basis with Benefits/HR Leadership.
- Track accommodations made within the company. Help to develop, generate and present reports on a regular basis to analyze LOA and accommodation data and trends.
- Coordinate short term and/or long-term disability and process application in leave paperwork
- Understand how to track Family Medical Leave (FMLA, state specific LOA, personal LOA, ADA in conjunction).
- Continuously improve overall process efficiency and accuracy.
- Assist in recommendations, research, and any implementation of related LOA, disability, and benefits software and applications.
- Additional benefits administration and other duties assigned as appropriate.
- Act as a Subject Matter Expert for the Benefits department for Leave of Absence, ADA processes, policies, procedures.
- Contribute to cross-functional HR initiatives as well as LOA specific initiatives.
- Communicate ideas and process improvements regarding current LOA policies and procedures
- Perform other related duties or projects as required or requested.
- Strong commitment to data integrity and accuracy.
QUALIFICATIONS
Knowledge/Skills/Abilities
- In-depth knowledge of federal and state leave related regulations including FMLA, NYSPFL, NYDBL, ADAAA (including the interactive process), and HIPAA.
- General understanding of employee benefits as they relate to leaves of absence, including short/long term disability, COBRA, state disability pay, etc.
- Proficient in Microsoft Office programs, including Excel, Word, PowerPoint and Outlook
- Experience using HRIS software, specifically Workday and web-based systems, and leave admin related systems.
- Ability to maintain high level of confidentiality and professionalism.
- Excellent written and verbal communication skills.
- Strong multi-tasking, prioritization and organization skills.
- Attention to detail, critical thinking, analytical and problem solving skills.
- Self-starter, fast learner with ability to work independently under limited supervision.
- Must work well in an interactive team environment.
Education/Experience
- Bachelor's degree required
- Human Resources, Business Administration or related field degree preferred
- SHRM Certification or Membership preferred
- Minimum 3 years- experience in an HR/Leave Admin/Employment Law related position. Previous experience in leave of absence administration (of both continuous and intermittent leaves) in a high volume environment is preferred.
PHYSICAL REQUIREMENTS
This job operates in a professional office environment. Largely a sedentary role with some filing requiring the ability to lift files, open filing cabinets and bending or standing on a stool as necessary. The ability to sit or stand for long periods through meetings and while operating office equipment, PC's, laptop, telephone will be required.
