Summary
The Leave of Absence Coordinator supports the HR Shared Services-LOA department with the processing, coordination, and execution, of various portions of leave of absence administration. This consists of largely transactional and administrative work.

Responsibilities- Complete status changes in the HRIS/Payroll system as appropriate for clients who do not have LOA Administration services, Workers Comp-only cases, and assist LOA Specialists with status changes for clients that do have LOA Administration Services. This includes requests from and coordination with internal stakeholders such as Benefits and Payroll. This must be done timely, meeting departmental service level agreements.
- Complete wage and LOA verifications for state or private plans
- Coordinate LOA Administration Services with clients. Complete and record client preferences, system set up, analyze and document company-specific LOA policies.
- Follow up to ensure return of completed documentation, communicating deadlines, extensions, and consequences of failure to provide required documentation within all required timelines.
- Assist clients with LOA Compliance inquiries regarding obligations under state and federal leave protections or other leave of absence-related inquiries.
- Manage incoming and outgoing department mail, including sending LOA packets to meet company and government timelines for worksite employees or clients who want to communicate outside of email as well as vendor partners.
- Manage state and private plan LOA claim notices and certificates of insurance. This includes assisting with the New York Disability and Paid Family Leave master plan audit process.
- Complete report requests for clients or internal customers. Assist with collection of documents for legal requests.
- Track time spent on client-facing tasks in company’s database.
Document work concurrently in a professional manner that would allow others to understand what has been done and pick up the process seamlessly.
Assist the supervisor with managing the LOA queue, properly categorizing, researching history, and distributing cases appropriately
- Other administrative duties as assigned
Education:
- High school diploma required, with some college helpful
Skills & Experience:
- At least 3 years of experience in HR
- Experience with FMLA strongly preferred, understanding of state leave protections helpful
- Experience or ability to have direct and/or conversations about sensitive topics.
- Good written and verbal skills.
- Must be process oriented, able to drive to completion.
- Must be able to navigate and problem solve situations that may not easily fit in a regimented process. Critical thinking through complex problems is required.
- Strong customer service and needed.
- Ability to juggle multiple short- and long-term deadlines
- Ability to work efficiently to meet volume and pace expectations.
- Bilingual English/Spanish helpful
Computer Skills:
- HRIS experience
- Proficiency in MS Suite.
Certifications/Licenses:
- PHR or SHRM-CP helpful
