Summary:

The Leave and Accommodations Manager oversees centralized absence and accommodations administration, ensuring operational efficiency, process consistency, and regulatory compliance. This role manages work distribution, quality, and team performance within a tiered service delivery model, while fostering employee development. The Manager partners with facility HR teams, Centers of Excellence (COEs), and HR Shared Services leadership to address service issues, optimize processes, and ensure effective vendor management.

Responsibilities:

Oversees the ADA interactive process in partnership with Employee Relations, Legal, and operational leaders to assess and implement reasonable accommodations that ensure compliance while supporting employee needs and business operations.Leverages HRIS platforms, case management systems, and leave administration technology to optimize workflow automation, maintain data integrity, and ensure seamless case transitions across service tiers.Ensures compliance with all applicable federal, state, and local leave and accommodation laws and regulations, including Family and Medical Leave Act (FMLA), Americans with Disabilities Act Amendments Act (ADAAA), Pregnant Workers Fairness Act (PWFA), Workers' Compensation, short- and long-term disability programs, Military Leave (USERRA), Religious Accommodation under Title VII of the Civil Rights Act of 1964 and complex multi-state statutory paid and unpaid leave requirements.Promotes a customer-centric approach to leave and accommodations administration, ensuring employees receive clear, supportive guidance while minimizing administrative complexity during medical or personal leave events.Oversees the performance of third-party administrators (TPAs) and leave management vendors, establishing and monitoring service level agreements (SLAs), conducting regular performance reviews, and ensuring accountability for accurate data management, timely case administration, and high-quality employee service.Develops and delivers training, toolkits, and resources for operational leaders and HRBPs, equipping them to effectively support the leave and accommodation process, including early intervention, the interactive process, and successful return-to-work outcomes.Identifies and resolved process inefficiencies, service challenges, and systemic issues, driving continuous improvement initiatives to streamline workflows, remove bottlenecks, and enhance service delivery.Mentors and coaches a team of leave and accommodation specialists, establishing service standards, monitoring performance metrics, balancing caseloads, and fostering a culture of continuous improvement.

Complexity of Work: Requires a strong customer service orientation, ensuring an empathetic, seamless, and supportive experience for employees and managers during critical life events. Must be able to lead the high-stakes intersection of overlapping, highly regulated federal, state, and local labor laws (including FMLA, ADAAA, PWFA, Workers’ Comp, and statutory leaves) across the enterprise, while mitigating legal, financial, and compliance risk. Champions a centralized, standardized, and data-driven service model, holding external vendors accountable to rigorous service standards while effectively managing sensitive, high-risk case escalations with discretion and care. Deep, expert-level knowledge of FMLA, ADAAA, PWFA, and tiered HR service delivery systems (e.g., ServiceNow, Workday, or specialized leave platforms). Demonstrates exceptional communication, presentation, and stakeholder management skills, with the ability to influence operational leaders and effectively present recommendations and solutions to executive leadership. Required Work Experience: A minimum of five (5) years of progressively responsible experience in leave and accommodations administration, including at least two (2) years within a centralized HR Shared Services environment supporting a large enterprise and two (2) years of team oversight experience, including providing direction, guidance, and managing performance. Demonstrated experience managing external vendors, insurance carriers, or TPAs in a large-scale corporate environment.
