Summary/Objective 

The Lead Registrations Specialist is an important member of our Competition Registration team and regional leadership team, responsible for ensuring that their customers have a seamless event registration experience.

Essential Job Functions:

  • Provide leadership to the Registration Specialist team that drives customer experience and operational excellence to exceed division objectives
  • Oversee day to day activities and motivate team
  • Lead training of Registrations team
  • Oversight of team’s performance to consistently encourage retention, growth and productivity
  • Collaborate with the Supervisors/Managers of the Registrations, Experience and Operations teams to evaluate performance of team members
  • Oversee and train Registration Specialists and onsite registration roles at events
  • Answer phones and assists with customer questions; provide excellent customer service
  • Update and maintain Salesforce pricing and divisions for events within region
  • Receive, input, update as needed and monitor individual event registration
  • Create and help manage wait lists for events within the region
  • Help with overflow registration with End of Season events as needed
  • Update and Maintain events in the USASF website
  • Have knowledge and full understanding of:
    • Release Waivers (or no release waivers)
    • Rules and Regulations
    • Terms and Conditions
    • Music Verification
    • Policies and Procedures
    • USASF Compliance and Waivers
    • Bid Declarations/Intentions
    • Rec Verification
  • Collect all money before or on-site and applicable forms for assigned events
  • Event Closeout
    • Zero out event (credits and balances)
    • USASF event closeout
    • Replenish Registration Materials
    • Process/Deliver Checks and or Cash for Deposits
    • Organize and store all registration forms from event
  • Work with Registrations leadership, Event Coordinator, Scoring Department, USASF and other departments to ensure the best event experience for the customer and to maintain compliance with requirements
  • Pack & organize all registration materials for truck traveling to event
  • Monitor and provide frequent updates on regional event participation
  • Monitor and participate in BAND app Q&A
  • Manage the goals and success metrics established
  • Collaborate closely with Supervisors/Managers of the Registrations, Experience and Operations teams
  • Work as program’s point of contact on site at assigned events

Additional Job Functions:

  • Serves in a mid-level management and/or support role at events
  • Participate on various committees and/or boards essential to our business both indirectly and directly

Knowledge, Skills, Abilities

Proven ability to lead and mentor individuals Strong familiarity with productivity tools such as Microsoft Office Suites Fluency in Microsoft Excel Fluency in Salesforce High level of customer service acumen Excellent organizational skills with the ability to manage multiple tasks simultaneously Exceptional communication and interpersonal abilities to interact with various stakeholders Ability to work independently and collaboratively as part of a team. Strong problem-solving skills to handle unexpected customer issues effectively

Supervisory Responsibility

Oversee day to day operations of the Registration Specialist team in the region.

Physical Demands and/or Work Environment

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While not participating in an event this job operates in a professional office environment. Largely a sedentary role with some filing requiring the ability to lift files, open filing cabinets and bending or standing on a stool, as necessary. Ability to sit or stand for long periods through meetings and while operating office equipment, PC’s, laptop, telephone will be required.

During events, the ability to stand and walk for long periods of time (5 hours plus) is required. The ability to communicate with customers and colleagues using the following but not limited to radio, walkie talkie, text message and email is required. The ability to lift, bend, push, pull and manipulate equipment that is a minimum of 30 lbs. is required.

Travel

Event travel and attendance at staff meetings & trainings is required. Event travel will include overnight stays for events. As part of the event operations team during the event season which runs from October thru April this role is expected to be available to work 2-3 weekends per month.

Education, Certification and Experience

  • Bachelor’s degree in business or related field or equivalent work experience.
  • Minimum of 3 years Registration Specialist or equivalent experience.
