The Role

Description

At GoodHabitz, we believe in making learning a habit, and we’re on the lookout for an experienced Executive/Personal Assistant to support our CEO on this mission. In this role, you’ll ensure the CEO’s day runs smoothly while leading a team of Executive Assistants to drive the efficiency of the administrative office.

What you’ll do

As PA to the CEO, you’ll be the right hand of our CEO—managing her agenda, coordinating travel, and ensuring seamless communication. You’ll lead a team of Executive Assistants, drive operational efficiency, act as the key liaison for internal and external stakeholders and play a crucial role in company-wide change management.

Your key responsibilities:

PA to the CEO

  • Manage the CEO’s calendar, appointments, and travel, ensuring optimal time management.
  • Handle personal and private arrangements to keep her agenda running smoothly.
  • Organize and prioritize the CEO’s emails, meetings, and communications.
  • Act as a trusted liaison, managing confidential information with discretion.

Stakeholder Management

  • Build and maintain relationships with senior leadership, clients, and partners.
  • Act as a representative of the CEO, ensuring smooth and timely communication.
  • Manage key projects and initiatives aligned with company goals.

Change Management & Leadership

  • Support company-wide transition and change management initiatives.
  • Lead and mentor the Executive Assistant team, ensuring high performance and efficiency.
  • Foster a collaborative environment, keeping the team motivated through change.

General Administration

  • Oversee the day-to-day operations of the administrative office.
  • Handle ad hoc tasks and special projects for the CEO.
Requirements
What we’re looking for:
    • 10+ years of experience in an executive or administrative support role, with at least 3 years of leadership experience.
    • Proactive and agile in fast-paced environments, able to manage a wide range of tasks and responsibilities, both business and personal.
    • Strong leadership skills, capable of motivating, guiding, and mentoring a team of Executive Assistants, with the ability to hold others accountable.
    • Excellent communication skills in English, both written and verbal, with the ability to communicate effectively with senior leadership, employees, and external stakeholders.
    • Tech-savvy, with proficiency in office software, project management tools, and communication platforms to streamline tasks and improve efficiency.
    • High emotional intelligence, able to remain calm under pressure and resilient in the face of change, managing both personal and professional stress effectively.
    • Change management experience, with the ability to support transitions and lead teams through periods of change without getting overwhelmed.
    • Strategic thinker, with a proactive attitude and the ability to balance business and personal tasks with professionalism, discretion, and the right level of assertiveness.
    • Relationship-building skills, able to foster strong collaborations across departments, countries, and teams.
    • Problem-solving abilities, capable of navigating challenges efficiently and maintaining focus on solutions in complex, evolving situations.
