The position plays a critical role in securing material availability for research laboratories by managing the end-to-end order lifecycle, monitoring stock levels at Points of Use, and supporting replenishment processes. By maintaining a comprehensive, cross-stream view of operations, the role ensures seamless coordination, rapid issue resolution, and consistent service delivery across all activities. Due to the criticality and complexity of order flows, approximately 50% of the role focuses on Order Administration, with the remaining time dedicated to data management, problem solving, communication and supporting the day-to-day order management when required.
The role requires versatility, adaptability, and strong coordination to support different operational needs and ensure service continuity.
Depending on the assignment, the scope may include chemistry-related products (chemicals, solvents, reagents), biological materials, and laboratory consumables, with flexibility to support additional categories when required.
Main Mission
Ensure support of laboratory supply activities by:
- Drive the day-to-day order management process
- Support the coordination of laboratory orders and goods reception,
- Support accurate inventory levels,
- ensuring timely replenishment at Points of Use,
- and supporting smooth, compliant, and efficient lab operations.
- Support our internal focus on safety
Key Responsibilities
Order Administration & Goods Reception (≈ 50%)
- Support the upkeep of order related master data in different systems (Inventory manager, excel, Revvity,…)
- Support back-up for the full order cycle for laboratory materials: order entry, follow-up, reception, and invoicing.
- Support order issues and coordinate resolutions
- Monitor supplier confirmations and delivery dates.
- Communicate order status, delays, process updates or issues clearly to internal requesters.
- Support the team manager with the addition of SKUs to our automatic order management system. Discuss the addition with the internal requesters.
- Support basic warehouse activities (storage, organization, housekeeping).
Scan, Inventory Management & Replenishment
- Support the coordination of timely replenishment of consumables, reagents, and solvents.
- Create replenishment requests in SAP / Ariba.
- Support the coordination of the upkeep of our point of uses and stock areas, making sure they are organized, clean, and up to date.
- Ensure inventory master data accuracy.
- Support colleagues to ensure operational continuity during absences or peak activity.
Required Skills & Experience

- Knowledge of SAP / Ariba and MS Office (Excel).
- Attention to detail and strong organizational skills.
- Ability to manage priorities in a fast-paced environment and comfortable switching between operational tasks
