We are looking for a Knowledge Operations Specialist to own how knowledge is structured, maintained, and used across Webbing.

Our documentation is currently spread across Confluence, monday.com, Jira, SharePoint, and Teams, with mixed quality and unclear ownership. Some content is outdated, some is siloed by department, and some critical knowledge exists only informally. This role exists to create order, define standards, and make knowledge reliable and easy to find.

You will work directly with department leaders to review existing documentation, define what is company-wide versus department-specific, close gaps, and put long-term structures in place. Confluence will be the single source of truth, with clear references to operational systems.

This is a hands-on role. Early work is heavy on reviewing, writing, restructuring, and pushing teams to document properly. Over time, this role becomes the owner of company-wide knowledge management and the quality gate for information used in our planned internal AI (RAG) system. You will be backed by company leadership and have the authority to enforce standards.

Key Responsibilities

  • Own the company’s knowledge system end to end, transforming fragmented and outdated information into a clear, trusted, and scalable source of truth.
  • Define and enforce what “good documentation” means at Webbing, including standards for how knowledge is created, structured, and maintained across the company.
  • Design and continuously improve the company-wide knowledge system, including structure, ownership model, and long-term maintenance approach.
  • Work directly with department leaders to extract critical knowledge, break silos, and align documentation with company-wide needs.
  • Act as the owner and final authority on knowledge quality, ensuring content remains accurate, relevant, and usable over time.
  • Ensure company knowledge is reliable and safe to use as a foundation for internal AI tools.
  • Drive adoption by educating, guiding, and pushing teams to document consistently and responsibly.

What Success Looks Like

  • Core company and department knowledge is clearly structured in Confluence.
  • Multiple departments are operating within a consistent documentation framework.
  • Clear standards exist for writing, tagging, reviewing, and maintaining documentation.
  • Department leaders actively maintain their documentation according to the system.

Requirements

  • 1–3 years of experience in knowledge management, operations, technical writing, or process documentation.
  • Strong writing and editing skills, with the ability to turn complex or messy input into clear documentation.
  • Solid technical understanding and the ability to learn complex systems and terminology quickly.
  • Strong systems and process thinking.
  • Comfortable working across teams, pushing for clarity, and driving work with minimal oversight.
  • Hands-on experience with documentation platforms.

Nice to Have

  • Experience in fast-growing tech companies.
  • Familiarity with AI knowledge systems or RAG-based tools.
