The Project Coordinator will support the Project Management Team in administration, coordination, and reporting activities across the project lifecycle. This role requires excellent organizational skills, attention to detail, and the ability to coordinate across multiple project disciplines and stakeholders.
This position is designed as an entry-level project management role, providing hands-on exposure to all key aspects of project delivery, including document control, reporting, planning, coordination, and stakeholder communication. The role offers a structured development path for individuals who demonstrate strong performance, initiative, and leadership potential, with opportunities to progress into a fully-fledged Project Manager position over time.
MAIN TASKS
1. Document Control & Correspondance
Support the Document Control Team in preparing and coordinating the submission and receipt of documentation between the Contractor, Client and subcontractors.
Monitor document review cycles and follow up on overdue reviews, comments, and approvals.
Maintain document registers, transmittal logs, and correspondence logs.
Verify that document numbering, revision status, and transmittals comply with project procedures.
Support the implementation and continuous improvement of document control processes.
Assist project team members in locating and retrieving project documentation.
2. Project Reporting
Coordinate the preparation of weekly and monthly project reports.
Collect progress information, updates, and key performance data from engineering, procurement, construction, planning, HSE, quality, and commercial teams.
Prepare photographic progress reports documenting construction activities and project milestones.
Consolidate inputs into standardized reporting templates.
Track reporting deadlines and ensure timely issuance of all recurring reports.
Support the preparation of presentations for project management meetings and Client reviews.
3. Project Coordination
Support the Project Manager and Project Management Office with day-to-day project administration.
Monitor open issues, risks, and project deliverables, ensuring timely follow-up with responsible parties.
Maintain project trackers, dashboards, and status registers.
Assist in coordinating interfaces between engineering, procurement, construction, quality, planning, commercial, and HSE functions.
Assist in maintaining project procedures, templates, and management documentation.
Perform general project administration tasks as assigned by the Project Manager.
Organize project meetings, including scheduling, invitations, agendas, and meeting logistics as well as preparation of accurate meetings records.
Maintain action item registers and decision logs.
Track action items through to closure and proactively follow up with responsible team members.
Qualifications
Bachelor/Master degree or diploma in Engineering, Construction Management, Business Administration, or a related discipline.
2–5 years of experience in project coordination, project administration, or document control on engineering or construction projects.
Experience on EPC or infrastructure projects is preferred.
