The IT Portfolio Manager is responsible for supporting portfolio planning, capacity management, financial reporting, and delivery planning activities across assigned IT portfolios. This role partners with IT leaders, Senior Portfolio Managers, project managers, scrum masters, product teams, and business stakeholders to help align work with portfolio priorities, resource availability, and funding objectives.The role supports demand intake, quarterly planning activities, resource planning, portfolio reporting, and financial management processes while helping maintain accurate portfolio data and planning information within the organization's Project Portfolio Management (PPM) tool. The portfolio manager provides analysis, recommendations, and reporting that enable informed prioritization and planning decisions across the portfolio.
Success in this role is measured through accurate planning data, improved visibility into portfolio performance, effective support of planning activities, timely financial reporting, and successful delivery of assigned initiatives.
- Support portfolio demand management processes by coordinating intake activities, gathering requirements, and helping prepare initiatives for prioritization and planning discussions.
- Partner with Business, Product, Architecture, and IT Delivery teams to maintain visibility into upcoming demand and delivery commitments.
- Assist with portfolio planning activities by maintaining project and initiative data, tracking priorities, visibility, and supporting roadmap discussions.
- Support the maintenance of portfolio resource plans, team rosters, and capacity information across assigned portfolios.
- Perform demand-versus-capacity analysis and provide insights regarding resource allocation, staffing needs, and planning considerations.
- Support quarterly planning and PI Planning activities by preparing capacity reports, planning assumptions, and readiness assessments.
- Identify potential resource constraints, dependencies, and delivery risks and communicate findings to portfolio and IT leadership.
- Support portfolio financial management processes, including annual planning, forecasting, variance analysis, and monthly financial reporting.
- Track portfolio budgets, actual expenditures, forecasts, and financial commitments.
- Assist portfolio and delivery leaders in identifying financial risks, budget variances, and opportunities for optimization.
- Prepare financial reports, dashboards, and presentation materials for leadership review.
- Maintain portfolio reporting and planning information within the organization's PPM platform.
- Ensure portfolio data accuracy and consistency across planning, financial, and delivery reporting.
- Support governance reviews by preparing status reports, metrics, dashboards, and supporting documentation.
- Monitor project and portfolio performance metrics and provide visibility into delivery trends and risks.
- Serve as a power user of the enterprise PPM platform and support portfolio stakeholders in utilizing tool capabilities.
- Assist with PPM tool enhancements, testing, training, and adoption activities.
- Develop and maintain documentation, procedures, and job aids to support portfolio planning and reporting processes.
- Contribute to continuous improvement initiatives that enhance planning, governance, resource management, and reporting practices.
What you'll need:
- 7+ years of experience working in an IT function such as project management, communications, planning, operations, IT Analysis, or a related discipline.
- Bachelor's degree in related field required.
- Knowledge of various software delivery models including Agile, hybrid Agile, or traditional project delivery environments.
- Knowledge of capacity planning, managing priorities, project tracking and reporting.
- Exposure to financial management, budgeting, forecasting, and variance analysis.
- Exposure to one or more project management and portfolio management tools such as Planview, Azure DevOps, Clarity, ServiceNow PPM, or similar solutions preferred.
- Strong analytical and problem-solving skills with the ability to translate data into meaningful insights and recommendations.
- Effective written and verbal communication skills.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Bachelor’s degree in business, Information Technology, Finance, or a related field required.
- Experience in Financial Services or other regulated industries preferred.
- Advanced Excel and reporting skills preferred.
- Occasional travel required.
