The Executive Assistant to the IT Director provides high-level administrative, operational, and project coordination support to the IT Director and IT leadership team. This role serves as a trusted partner, helping manage schedules, communications, vendor relationships, departmental reporting, and follow up on project management. The ideal candidate is highly organized, detail-oriented, technologically proficient, and capable of handling confidential information with professionalism and discretion.
What You'll DoMobile Device and Cellular Service Management
- Serve as the primary administrator for the organization's Verizon wireless account and mobile device program.
- Manage employee cellphone assignments, upgrades, activations, deactivations, and transfers.
- Process new service requests and ensure timely provisioning of devices and wireless services.
- Monitor wireless usage, billing, and plan optimization to ensure cost-effective service management.
- Maintain accurate inventories of company-issued mobile devices, phone numbers, and associated assets.
- Coordinate device replacements, warranty claims, repairs, and returns with Verizon and device manufacturers.
- Assist employees with mobile device setup, configuration, and basic troubleshooting.
- Review and reconcile monthly Verizon invoices, investigate billing discrepancies, and prepare reports as needed.
- Ensure compliance with company mobile device policies and security requirements.
- Support employee onboarding and offboarding activities related to cellular services and mobile device management.
Executive and Administrative Support
- Manage the IT Director's calendar, meetings, appointments, and travel arrangements.
- Screen, prioritize, and respond to communications on behalf of the IT Director as appropriate.
- Prepare presentations, reports, correspondence, and other executive documents.
- Maintain confidential records and sensitive departmental information.
Project and Operational Coordination
- Assist with planning, tracking, and reporting IT projects and initiatives.
- Monitor project timelines, deliverables, and action items to ensure accountability.
- Coordinate communication between IT teams, business departments, vendors, and leadership.
- Support department process improvement initiatives and documentation efforts.
- Maintain department policies, procedures, and organizational records.
Reporting and Communications
- Generate departmental metrics, dashboards, and performance reports.
- Prepare executive summaries and presentations for leadership meetings.
- Support internal communications related to IT projects, outages, and organizational initiatives.
- Ensure timely distribution of department updates and announcements.
Office and Department Administration
- Organize department events, training sessions, and team meetings.
- Maintain filing systems, both electronic and physical.
- Assist with onboarding activities for new IT employees.
- Perform other duties as assigned in support of the IT Director and IT leadership team.
Required Qualifications
- High School diploma
- Strong proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
