Role purposeAs the primary coordinator of all proactive and reactive engagement of joint venture and investment management related activity, this role is pivotal in coordinating aspects of Vicinity’s routine and bespoke activities including both regular and adhoc Joint Venture Meetings, internal VSA and ACCC meetings, Investment and Joint Venture Management team meetings, JV showcases and assistance with co-ordinating board site tours.Furthermore, in addition to providing team administration support, the role is responsible for management of the Joint Venture portals including ensuring appropriate access according to security protocols, co-ordinating loading of information and informing users of updated information on the portal.
VCX currently has 18 Joint Venture Partners across 26 assets. The co-ordinator must foster good relationships with external JV partners as well as internal VCX team members, be proactive in identifying and resolving scheduling challenges, and approach their role with a positive, proactive, problem-solving mindset.
Key Accountabilities
JV Management
- Responsible for JV partner activity diary/calender management
- Primary contact for JV partners EA’s and other key contacts in relation to meeting scheduling challenges and resolving these, fostering a positive relationship to achieve outcomes.
- Primary contact for internal EA’s and team members in relation to meeting scheduling challenges and resolving these.
- Responsible for management of the Joint Venture portals including ensuring appropriate access
- Responsible for taking minutes and actions for various meetings and distributing these accordingly.
- When required, support the team with communications deliverables needed by the team’s business partners
- Responsible for monitoring JV Partnerships inbox, and action or re-direct incoming emails as required.
- Assist with the preparation and co-ordination of the JV showcase (2 to 3 per year).
- Assist with the production of material for meetings including documents and PowerPoint packs.
- Acts as quality control across JV facing collateral, covering presentation / aesthetics
- Manage and monitor complaints and action in a timely manner and updating team as required
Team administration
- Support GM with team co-ordination matters.
- Manage expenses and supplier invoices in a timely manner
- Coordinate the diary of the GM
- Work with EAs and Team Coordinators to coordinate and diarise all relevant internal meetings.
- Assist in any relevant overflow work as required from Group Director Customer & Asset Management.
Experience & Capabilities
ESSENTIAL EXPERIENCE (what you have done)
- Demonstrated experience in a senior coordinator role with high contact points
- Extensive travel and time management skills
- High proficiency with Microsoft office suite (particularly Word, Excel, PDF and Powerpoint)
CRITICAL KNOWLEDGE (what you need to know)
- Experiencing in managing aspects of or Sharepoint sites
- Experience managing team budgets and forecasts
