Job overview

As the Executive Assistant to the Co-Founder, you will play a crucial role in ensuring the smooth operation of our executive team's day-to-day activities. You will be responsible for calendar management, travel arrangements, and various administrative tasks that contribute to the efficiency and effectiveness of the office. The ideal candidate for this position should possess exceptional organizational and communication skills, a welcoming personality, and the ability to work with multiple stakeholders.

Key responsibilities

• Effectively manage and maintain the Co-Founder's calendars, scheduling appointments, meetings, and conferences.

• Coordinate travel arrangements, including booking flights, accommodations, and ground transportation for the executive team as needed.

• Screen and prioritize incoming calls, emails, and correspondence, responding or redirecting as appropriate.

• Act as a liaison between the executive team and internal/external stakeholders, building and maintaining professional relationships.

• Assist in the coordination and planning of company events, conferences, and special projects.

• Handle confidential and sensitive information with discretion and maintain a high level of professionalism at all times

• Assist with expense reports, financial documentation, and other administrative tasks as required

• Collaborate with other administrative teams to ensure seamless workflow and support across the organization.

Qualifications & skills required

• 1-2 years of proven experience as an administrative assistant, executive assistant, or similar role, preferably in a fast-paced environment, would be a plus but is not mandatory

• Excellent organizational and time management skills, with the ability to prioritize tasks effectively.

• Exceptional communication skills, both written and verbal, with a friendly and professional demeanor.

• Strong interpersonal skills and the ability to build positive relationships with diverse stakeholders.

• Proficient in using productivity software, such as Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools.

• Ability to handle confidential information with discretion and maintain a high level of integrity and professionalism.

• A  detail-oriented mindset with a focus on accuracy and efficiency in all tasks.

• Flexibility and adaptability to meet changing priorities and deadlines.
