Indoor Logistics Coordinator
The Indoor Logistics Coordinator plays a crucial role in ensuring seamless, efficient logistics operations by coordinating the pick-up and delivery of flooring shipments from our manufacturing plants and suppliers to storage facilities and job sites, both domestically and internationally. This position supports end-to-end logistics processes, maintaining up-to-date shipping data, and collaborating with various internal teams and external partners to ensure timely delivery and accuracy.
Key Responsibilities
1. Shipment Coordination
- Manage the scheduling and tracking of all shipments, coordinating closely with production schedulers, suppliers, sales support, customer service, and customers.
- Oversee national and international logistics activities, including booking, quoting, and processing customs documentation.
2. Data and Documentation Management
- Collect, maintain, and analyze shipping data using Syspro, SharePoint, and Excel.
- Record inbound and outbound freight movements, ensuring accurate documentation and timely updates in relevant systems.
3. Cost Optimization and Freight Management
- Book transportation options that balance pricing and service requirements, focusing on reducing LTL transportation costs.
- Collaborate with international teams on freight cost negotiations, taking into account international market conditions to optimize logistics operations.
4. Customer and Supplier Communication
- Serve as a point of contact with customer service to set up and manage shipments, providing timely updates and ensuring customer satisfaction.
- Quote freight moves for customer service projects and work with brokers to meet delivery schedules without delays.
5. Claims and Issue Resolution
- File and manage freight claims, tracking progress and maintaining records.
- Investigate and resolve claims efficiently, gathering required information and negotiating settlements with carriers when necessary.
- Generate claims reports and communicate updates to claimants as required.
6. Compliance and Safety
- Ensure all shipments adhere to company safety regulations and compliance standards, including accurate customs paperwork (e.g., trade agreements, declarations, commercial invoices).
- Participate in quarterly reviews to recommend improvements for safe, efficient, and timely delivery.
7. Operational Efficiency
- Identify recurring operational issues and propose corrective actions to management.
- Support continuous improvement by analyzing logistics processes and suggesting cost-saving opportunities.
Required Skills and Qualifications
- Experience: Minimum of 3-5 years in logistics, supply chain, or a related field.
- Technical Proficiency: Strong command of logistics software, including Syspro, SharePoint, and Excel.
- Communication Skills: Effective verbal and written communication skills, with the ability to manage diverse internal and external relationships.
- Problem-Solving: Demonstrated experience in resolving logistics challenges and handling freight claims with attention to detail.
- Organizational Skills: Strong ability to manage multiple shipments, priorities, and responsibilities simultaneously.
- Attention to Detail: Keen focus on accuracy in shipment records, documentation, and communication.
