Position Overview:
The Import Supervisor oversees the importation process, ensuring compliance with customs regulations and coordinating the efficient and timely clearance of goods. This role involves managing a team, liaising with customs authorities and clients, and optimizing import operations to align with business objectives.
Key Responsibilities:
Import Process Management:
- Oversee the end-to-end import clearance process.
- Ensure accurate documentation, including invoices, packing list, bills of lading, and import permits.
- Monitor shipments to ensure timely clearance and delivery.
Regulatory Compliance:
- Ensure all import activities comply with Tanzanian customs regulations and international trade laws.
- Resolve discrepancies and disputes with customs authorities promptly.
Coordination and Communication:
- Act as the primary contact for clients on import-related matters.
- Liaise with shipping agents, transporters, and customs officials to expedite clearance.
Team Supervision:
- Lead and manage the import team to ensure productivity and adherence to company policies.
- Train team members on import procedures and regulatory requirements.
Documentation and Reporting:
- Maintain accurate records of import transactions and files for audits.
- Prepare and submit regular reports on import operations to management.
- Prepare good records and arrange the files properly under the company’s rules
Cost Management:
- Monitor and control costs associated with importation, such as duties, taxes, and handling charges.
- Identify opportunities to reduce expenses and enhance cost efficiency.
Client Relationship Management:
- Ensure excellent service delivery to clients by addressing inquiries and resolving import-related issues.
- Build and maintain strong client relationships to foster loyalty and business growth.
Problem-Solving:
- Address and resolve challenges or delays in the import process promptly.
- Develop contingency plans for unforeseen import-related issues.
Report and feedback on time
- Report to the operation manager and GM or MD on time and with good feedback;
- Perform the work assigned by the management on time and with good results.
Skills Required
- Knowledge of Tanzanian customs regulations and international trade laws
- Experience overseeing end-to-end import clearance and documentation (invoices, packing lists, bills of lading, permits)
- Ability to liaise with customs authorities, shipping agents, and transporters to expedite clearance
- Team supervision and training experience
- Record keeping and audit-ready documentation skills, and regular reporting to management
- Cost monitoring and identification of import cost-reduction opportunities (duties, taxes, handling charges)
- Client relationship management and strong communication skills for import-related inquiries
- Problem-solving skills and ability to develop contingency plans for import delays
