We are currently looking for an Import & Export Execution Specialist to join our international team.
This is a hybrid position based in Warsaw, Poland, with an expectation to work from the office 3 days per week.
As an Import & Export Execution Specialist , you will act as the central point of contact for export shipments and documentation, ensuring smooth coordination of export orders and maintaining communication across multiple internal and external stakeholders.
Key Responsibilities- Execute and coordinate international import and export shipments in accordance with Global Trade Management (GTM) processes and governance standards.
- Ensure compliance with international trade regulations, customs requirements, dangerous goods regulations, and company policies.
- Manage export documentation, including commercial invoices, certificates of origin, transport documents, and other trade-related documentation.
- Monitor shipment execution and proactively resolve transportation, customs, and documentation issues.
- Collaborate with logistics providers, customs brokers, 4PL partners, and internal stakeholders to ensure seamless shipment execution.
- Maintain accurate shipment, transportation, and trade compliance data within SAP and related systems.
- Apply Incoterms correctly and ensure proper allocation of responsibilities, risks, and costs throughout the shipment lifecycle.
- Support trade compliance activities and ensure adherence to import/export regulations.
- Participate in continuous improvement initiatives related to transportation, customs, and GTM processes.
- Handle customer complaints and shipment exceptions while ensuring compliance and operational excellence.
- Bachelor's degree in Business, Supply Chain, Logistics, International Trade, or a related field.
- Minimum 2–3 years of hands-on experience in import/export operations, international logistics, or trade execution.
- Solid understanding of Incoterms and their practical application in international trade.
- Experience coordinating export and/or import shipments in a structured, process-driven environment.
- Experience working with SAP (preferably SAP ERP/SAP R3) or similar enterprise systems.
- Knowledge of international trade compliance requirements, customs processes, and shipping documentation.
- Strong process-oriented mindset with the ability to follow and execute standardized procedures.
- Strong analytical skills and attention to detail.
- Excellent communication skills and ability to collaborate across international teams.
- Fluent English (written and spoken)
- Experience within the chemical industry or another highly regulated environment.
- Knowledge of ADR, dangerous goods transportation, and compliance-driven logistics processes.
- Experience working with Global Trade Management (GTM) processes and governance.
- Additional European language skills.
- Experience working with 4PL providers and international transportation networks.
