About The Office of the Vice President for Research and Innovation
The Office of the Vice President for Research and Innovation (OVPRI) advances Cornell’s scholarship, research, and discovery by providing state-of-the-art facilities, expertise, and partnerships that drive innovation and impact. OVPRI secures external funding, promotes interdisciplinary research, and ensures regulatory compliance. The office supports research translation and commercialization through companies, startups, and entrepreneurial ventures. This is a full-time (39 hours/week) endowed position based in Ithaca, NY, with a hybrid work arrangement allowing for multiple remote days per week. Standard work hours are Monday through Friday, 8:30 a.m. to 4:30 p.m. The position will be posted as a 1-year term.
The Opportunity
The Administrative Coordinator provides high-level administrative support for an assigned portfolio of Research & Innovation centers and projects. This role involves assisting center directors and managers with financial and operational tasks managed by SUMMIT.
Key Responsibilities
Functional Support Lead
- Serve as SUMMIT’s administrative lead for specific functional areas (e.g., travel, financial management, grant recordkeeping, event coordination).
- Maintain expertise in Cornell University and Office of Research and Innovation systems, practices, and policies to guide the SUMMIT team effectively.
Point of Contact for Centers and Projects
- Act as the primary point of contact for assigned centers and projects, organizing support needs and determining independent or team-based handling.
- Develop thorough knowledge of center activities within the assigned portfolio to provide informed support.
Comprehensive Administrative Support
- Address a variety of administrative needs, including handling financial transactions, travel reimbursements, invoicing, and expense reporting.
- Coordinate meeting schedules, take minutes, and support event planning (seminars, workshops, symposia, and faculty visits).
- Support routine communications by posting news and announcements and assist with grant applications and funding proposals.
- Maintain records for centers and grants, ensuring accurate reporting, under the direction of the SUMMIT Director and Project Associates.
What We Need

- Associate’s degree with 2-4 years of experience in an office setting or an equivalent combination of education and experience.
- Proficiency with Microsoft Office Suite, especially Word and Excel, or the ability to quickly develop fluency.
- Ability to learn new programs and adapt to changing policies and procedures effectively.
- Demonstrated experience in or commitment to supporting diversity, equity, access, inclusion, and wellbeing.
- Ability to work both independently and as part of a team, with flexibility to adjust priorities as needed.
- Strong organizational and communication skills, with excellent attention to detail.
- Proactive and positive approach to work tasks and challenges.
