About the role
ReUp Education is seeking a driven and detail-oriented Executive Administrative Assistant to support our CEO and C-suite. Primarily, you will serve as our CEO's initial "eyes and ears" when it comes to filtering inbound emails, meeting preparation, documentation review, and managing her overall schedule and daily to-do's. From calendar management to travel planning to building slide decks, you'll ensure all assigned tasks are executed with timeliness and accuracy, serving as a highly trusted and reliable partner for the CEO.
The Executive Administrative Assistant will also play a key support role for other C-Suite leaders. This may involve organizing team-wide travel, assisting with client correspondence, creating and pulling reports, and other tasks as assigned. The successful applicant is flexible, embraces time management, and thrives within a small and dynamic team with minimal supervision.
You should be able to work within 8am-5pm CST and have the ability to travel a few times a year. If you're excited to support an executive and team addressing a critical issue in higher education, we'd love to hear from you!
What you'll do

  • Connect with the CEO throughout the day to review priorities and tasks
  • Participate in team meetings, as directed by C-Suite, which will include detailed pre-meeting preparation, note-taking, and tracking post-meeting follow up
  • Maintain organization and partner confidence by keeping appropriate information confidential, acting with a high degree of discretion
  • Help guide and provide talking points for CEO calls with clients or vendors
  • Manage Salesforce contacts, follow-ups and pipeline
  • Serve as a funnel for incoming inquiries, managing the CEO's inbox, coordinating meetings, and effectively organizing her daily schedule
  • Schedule calendar events and plan travel arrangements for trips
  • Assist with event planning, virtual and in-person
  • Manage and submit expense reports
  • Schedule and support preparation for Board activities and corporate meetings
  • Assist CEO in the reviewal and editing of project documentation
  • Provide assistance with financial and sales reporting
  • Perform Office Manager type duties when Austin office opens
  • Provide a bridge for smooth communication between the CEO's office and internal departments; demonstrating credibility and support with senior management staff
  • Act as Office Manager for our home base
  • Other tasks as assigned
  • Some domestic travel (approximately 5-7 times a year)

  • Bachelor's degree and 3+ years of experience as an Executive Assistant, supporting C-level executives in a fast-paced environment
  • Strong spreadsheet, report, and slide deck creation skills
  • Experience in internal communications, including developing and delivering clear, consistent messaging across various channels to engage and inform employees.
  • Excellent organizational and time management skills
  • Strong ability to juggle competing priorities, self-manage your time, and proactively anticipate and address conflicts before issues develop
  • Excellent communication skills (verbal, written, and face-to-face) including strong attention to spelling and grammar
  • Comfortable pushing back against executives and team members as needed to smoothly manage continued operations
  • Highly proficient with a variety of online workplace tools, or the ability to quickly learn: Google Workplace and Microsoft Office Suite, especially Google Slides/PowerPoint; a project management tool (e.g. Asana); a CRM (e.g. Salesforce)
  • Flexible and willing to perform other tasks as assigned
  • Experience as an Office Manager, a plus
  • Able to work within 8am-5pm CT and comfortable traveling a few times a year
  • Strong interest in the ReUp mission

80,000 - 95,000 USD per year ( Austin, TX )
